KEESAMAX SDN. BHD. is seeking a People Administration Manager to oversee HR administration, recruitment, compensation and benefits, training, and policy compliance across ASEAN. The role requires relocation to the designated ASEAN country and reports to senior management.
The candidate should have a degree in HRM or related field with at least five years of HR experience and strong analytical and interpersonal skills to manage multiple people-related matters efficiently.
The People Administration Manager is responsible for managing the Company’s overall people and HR administration functions, including recruitment, employee relations, compensation and benefits, training, HR policies, compliance, and HR administration for an ASEAN country. The role ensures that people-related activities are managed effectively and in compliance with Country & Company policies as well as employment laws. This position will require a relocation to the designated ASEAN country.
Manage the full recruitment process from job posting to onboarding.
Conduct interviews and orientation for new employees.
Monitor manpower requirements and prepare manpower reports.
Conduct exit interviews and analyze employee turnover.
Implement employee retention initiatives.
Prepare HR letters, memos, and correspondence.
Review and update HR policies, Employee Handbook, and SOPs.
Maintain and update the organization chart.
Ensure compliance with applicable employment laws and Company policies.
Manage annual performance appraisal, salary increment, bonus, incentives, and promotions.
Maintain job descriptions, job grading, occupational classifications, and salary structures.
Assist in developing and maintaining competitive compensation and benefits practices.
Coordinate employee training and maintain training records.
Identify training needs and organize suitable training programs.
Coordinate training activities.
Monitor training effectiveness and ensure training activities remain within budget.
Manage employee disciplinary and grievance matters.
Prepare disciplinary letters and related documentation.
Conduct Domestic Inquiry when required.
Investigate employee relations issues and recommend appropriate action.
Develop initiatives to improve employee engagement and workplace relations.
Ensure compliance with HR SOPs, IMS requirements, and internal controls.
Coordinate and support internal and IMS audits.
Review and update HR SOPs when required.
Verify HR/Admin supplier invoices and submit them to Finance for payment.
Support Company events and provide backup to the People Administration team when required.
Perform other duties assigned by the superior.
Degree in Human Resource Management, Business Administration, or equivalent.
Minimum 5 years of relevant HR experience.
Proficient in Microsoft Office, especially Microsoft Excel.
Strong analytical, communication, problem-solving, and interpersonal skills.
Able to work independently and manage multiple people-related matters effectively.
