We are looking for an experienced Administration Manager to lead the administrative operations of our Malaysia office and oversee workplace administration across the Group’s operations in Southeast Asia, including Indonesia, the Philippines, and other markets.
The role will ensure efficient, professional, and consistent administrative operations across countries, while adapting to local requirements and cultures.
Key Responsibilities
- Manage the day-to-day administrative operations of the Malaysia office, including office facilities, workplace services, procurement, vendors, assets, travel arrangements, and other general administration matters.
- Oversee and coordinate administrative operations across Indonesia, the Philippines, and other countries within the Group.
- Establish and improve regional administrative policies, SOPs, standards, and management processes.
- Manage local administration teams and vendors, ensuring service quality, cost efficiency, and timely execution.
- Support office setup, relocation, renovation, expansion, and other workplace-related projects.
- Manage regional administrative budgets and identify opportunities for cost optimization.
- Coordinate with local management, HR, Finance, IT, Legal, and other functions on cross-functional administrative matters.
- Understand differences in local culture, working practices, and regulations, and ensure Group standards are implemented appropriately in each country.
- Handle urgent workplace incidents and ensure proper escalation, communication, and contingency arrangements.
Requirements
- Minimum 5 years of administration / workplace management experience, preferably with multinational or regional companies.
- Proven experience managing administrative operations across multiple countries or offices.
- Strong experience in office management, vendor management, procurement, workplace operations, and administrative process improvement.
- Strong project management and cross-cultural communication skills.
- Able to work independently and coordinate multiple countries and stakeholders.
- Good understanding of cultural differences across Southeast Asian markets.
- Fluent in Chinese, English, and Bahasa Malaysia.
- Strong ownership, execution capability, attention to detail, and problem-solving skills
