DaVita Inc. in Malaysia seeks an experienced Payroll Executive to champion the iWoW payroll system and deliver accurate, timely monthly payroll across multiple entities.
You will manage pre- and post-payroll reconciliations, statutory submissions, and robust reporting while maintaining confidentiality and audit readiness. The role requires 4–6 years of end-to-end payroll experience, strong Excel skills, and fluency in English and Bahasa Melayu.
Champion the payroll system (iWoW) and execute end-to-end monthly payroll runs with 100% data accuracy and timeliness across multiple entities within the Group.
Ensure all remuneration, variable components, allowances, overtime (OT), incentives, commissions, claims, and contractual benefits are processed accurately.
Perform thorough pre-payroll and post-payroll reconciliations, variance analysis, and generate comprehensive monthly payroll reports.
Maintain organized and confidential payroll records, reports, and documentation for internal and external audit readiness.
Continuously explore and implement opportunities to simplify, standardize, and automate payroll workflows.
Ensure strict compliance with all current Malaysian labor laws and tax regulations (Employment Act 1955, Income Tax Act 1967, EPF Act 1991, Employees Social Security Act 1969, EIS Act 2017, and PSMB Act 2001).
Compute, reconcile, and submit all monthly statutory contributions and deductions (EPF, SOCSO, EIS, PCB/CP39, CP38, HRD Corp levy) strictly within statutory deadlines.
Manage year-end tax exercises, including the preparation, reconciliation, and timely issuance of Form EA, Form E, and tax clearance submissions (CP22, CP22A, CP21).
Administer SOCSO and EIS claims, maternity/paternity statutory submissions, and serve as the key contact point for government authorities during payroll audits and queries.
Collaborate closely with appointed Tax Consultants and Inland Revenue Board (LHDN) representatives to ensure appropriate tax treatments and statutory regulations are applied.
Support the planning and execution of the annual pay review and merit increment exercise accurately within the payroll system.
Assist People Services leadership in annual payroll budgeting, headcount cost modeling, and financial forecasting.
Generate monthly payroll analytics, variance analysis, headcount movements, and cost center reports for Management review.
Participate in market salary surveys and Compensation & Benefits (C&B) benchmarking exercises.
Champion the Time & Attendance and Leave management module, tracking employee attendance, shift schedules, and leave entitlements.
Monitor and audit leave records, public holiday entitlements, replacement leave, unpaid leave, and final settlement leave encashment.
Troubleshoot attendance and leave discrepancies with clinic managers and department heads.
Collaborate with payroll software vendors regarding system updates, enhancements, bug fixes, data mapping, and custom reporting.
Deliver prompt, courteous, and proactive communication to employees regarding payroll, tax, and benefits inquiries with exceptional written and verbal communication.
Bachelor’s Degree or Diploma in Human Resource Management, Finance, Accountancy, Business Administration, or a related discipline.
Experience Requirements:
Minimum 4 to 6 years of comprehensive end-to-end payroll experience, preferably handling multiple legal entities and mixed employee profiles (office-based and clinical staff).
In-depth knowledge of Malaysian statutory legislation and employment regulations (Employment Act, LHDN/PCB, EPF, SOCSO, EIS, HRDF).
Proven hands‑on experience with established HRIS / Payroll software (iWoW)
Advanced proficiency in Microsoft Excel (formulas including VLOOKUP, XLOOKUP, Pivot Tables, SUMIFS, logical and rounding formulas).
Strong experience in payroll reconciliation, general ledger mapping, and payroll reporting.
Uncompromising integrity, discretion, and confidentiality when handling sensitive data.
Exceptional numerical accuracy and meticulous attention to detail.
Excellent interpersonal, verbal, and written communication skills in English and Bahasa Melayu.
Proactive mindset with strong problem‑solving skills and the ability to work independently under tight deadlines.
