Job summary

Mettler-Toledo International, Inc is seeking a detail-oriented orders administrator in Malaysia. The role involves triaging emails, processing sales orders and complaints, billing planning, and resolving data discrepancies with cross-functional teams.

You will work across channels (E-commerce, EDI, portals, emails) to ensure accurate order entry and timely responses, while upholding company guidelines and KPI targets.

Qualifications

• Diploma or BS/BA in Business Administration, Statistics, Economics, Logistics or related field.
• Fluent in English and Japanese.
• Able to work cross-culturally and cross-functionally.

Responsibilities

• Perform Email Triage and route inquiries, orders, and complaints.
• Acknowledge and enter sales orders or complaints via multiple channels.
• Execute and manage order processing transactions accurately and promptly.
• Create billing plans/downpayments during order entry.
• Identify, investigate and resolve errors or data discrepancies; coordinate with stakeholders.
• Implement preventive measures to avoid recurrence where appropriate.
• Perform housekeeping for open orders.
• Receive and follow directions from team leader and ensure accuracy of work.
• Review documentation and procedures to ensure compliance.
• Plan and schedule work to meet set timeframes.
• Communicate with teams to optimize completion of tasks.
• Ensure adherence to company guidelines and policies.

Our Opening and Your Responsibilities

• Perform Email Triage as needed, containing enquiries, orders & complaints
• Acknowledge and enter sales orders (or complaints) promptly and accurately as they are received through various channels such as E-commerce platforms, EDI systems, customer portals, emails, and other communication methods according to the agreed set of business logic, workflow, priority schedule planned and also establish local set of guidelines
• Execute and manage order processing transaction accurately and promptly
• Billing plan/ downpayment creation during order entry
• Identify, investigate and resolve errors or discrepancies in orders or data, communicating with relevant stakeholders to resolve issues promptly
• Where appropriate, implement preventive measures to avoid recurrence
• Perform housekeeping activities for open orders
• Receive and carry out directions as provided by team leader
• Always demonstrate accuracy of work
• Review documentation and work according to procedures laid out
• Schedule work to be completed within set timeframes
• Communicate with teams/peers and team leaders to optimize work completion
• Ensure company guidelines and policies are always met
• Achieve Key Performance Indicators (KPI’s) and meet Development Plan
• Support service and customer priority strategies
• Support cost reduction and/ or process improvement initiatives
