Job summary

Kps Hcm in Kuala Lumpur is seeking a Procurement/Operations Coordinator to assist in implementing the company’s business plans, manage operational matters, and maintain records as per the Business Plan. You will coach staff and ensure optimum resource utilization while supporting tender processes and vendor coordination.

Responsibilities

To assist in the implementation of the company’s business plan, strategies and programmes.
To assist in the implementation of all operational matters as per Business Plan.
To implement all procedures and maintain records under the responsibilities as per the requirements.
To coach and provide guidance to the personnel under the department to ensure optimum utilization of the resources.
To assist and implement all responsibilities as required.
To evaluate contractors' progress claim and monitor certificate of payment.
To monitor payment assignments and send the Payment Assignment report to the salesperson and the company.
To monitor Profit & Loss for project report.
To monitor closing stock.
To liaise with transporters for delivery.
To manage and coordinate tenders for PTSB and QPI under road maintenance, including obtaining supplier quotations, preparing tender documents and pricing, and ensuring timely submission.
To manage tender processes for arms, ammunition and related equipment projects, including reviewing tender documents, preparing technical and commercial submissions, and ensuring submission by the closing date.
To identify, evaluate and liaise with local and overseas suppliers/manufacturers on quotations, technical specifications, delivery schedules and after-sales support.
To coordinate with suppliers to obtain the required supporting documents, such as End User Certificates (EUC), export licences and product certificates.
To work closely with the Admin in verifying and finalising HS codes with suppliers, forwarders, and Royal Malaysian Customs to ensure accurate permit applications, duty and tax calculations, and customs declarations.
To work closely with the Admin in preparing and submitting applications for import/export permits and licences to the relevant authorities (e.g. PDRM and Royal Malaysian Customs), and to assist with follow-ups until approval is obtained. (when necessary)
To work closely with the Admin by checking the validity of all licences and permits during import, and compliance with the approval conditions, the Arms Act 1960 and related regulations.
To work closely with the Admin in coordinating shipment, customs clearance and delivery of items to the end user in accordance with contract and permit conditions.
To maintain complete and confidential records of tenders, supplier correspondence, permits and delivery documents.
