Job summary

Private Advertiser in Malaysia is seeking a diligent customs documentation specialist responsible for import/export declarations, COO applications, and ensuring all shipment data aligns with port systems.

You will verify invoices, packing lists, BL, NOA, and other documents; monitor clearance timelines; and coordinate with finance for billing, while handling ad hoc tasks as needed.

• Experience with import/export declarations and customs processes.
• Familiar with HS codes and COO activities.
• Ability to read and verify shipping documents accurately.

• Prepare and verify import/export declarations (K1, K2, K3, K8, K9).
• Verify invoices, packing lists, BL, NOA and other docs for customs declarations.

Job description

• Responsible for import and export declarations (K1,K2, K3, K8 and K9).
• Responsible for ZB declarations.
• Must read all the emails.
• Verify invoices, packing lists, BL, NOA and other relevant documents for customs declaration purposes.
• Well-versed in Harmonized System (HS) Codes.
• Responsible for COO application.
• Ensure all data are tally and verified before submitting COO application.
• Ensure BL, NOA and other important data details are tally with the port system.
• Ensure all shipment details are verified accurately and in a timely manner.
• Ensure all required documents are received and in order before ETA / closing date.
• Ensure to prepared all the documents if required for clearance manually (customs queries)
• Ensure tax exemptions forms other exemption form if required are properly arranged and in good order.
• Well-versed in LMW exemption requirements.
• Ensure K1, K2, K8 and K4 data tally with the shipping documents.
• Closely monitor customs clearance status to ensure documents are cleared within 24 hours, avoiding shut-out, customs penalties, compounds, carrier detention, demurrage and other related charges.
• Ensure duty is paid to Customs only upon confirmation from Customer Service.
• Responsible for K4 (Manifest) declarations.
• Responsible for submitting AFR, AMS, IC S2 and VGM submission.
• Responsible for loading activities when required.
• Responsible for outdoor activities if required. (collect D/O, seal and clearance custom paper)
• Responsible for providing and verified Northport and Westport billing to finance team from the system.
• Any other ad hoc job assigned by HOD.
