IPK College is seeking an Officer of Studies to support the management and monitoring of academic programmes in line with MQA FA and MOHE/JPT requirements. The role collaborates with Academic Department, Registry, and Quality Assurance to ensure proper implementation, documentation, and regulatory compliance.

The officer will monitor curriculum, teach-related matters, and academic records, while assisting in updating policies and coordinating with lecturers and coordinators.

Qualifications

Bachelor's degree (Education / Academic Management / Business or related field) with CGPA 3.5 or above.
Minimum 2 years of teaching experience in a higher education institution.
Strong knowledge of MQA FA, MOHE/JPT requirements and Malaysian higher education regulatory requirements.
Experience with academic programme documentation, curriculum management or academic quality assurance is an advantage.

Responsibilities

Coordinate documentation and monitoring for MQA Full Accreditation (FA) and programme compliance.
Support compliance with JPT/MOHE requirements and regulatory submissions.
Monitor and manage academic programme delivery, curriculum, schedules and course offerings.
Review and update academic policies, SOPs, and related forms.
Liaise with lecturers and academic coordinators on course delivery and documentation.
Prepare academic compliance and programme monitoring reports for Management.

Job description

The Officer of Studies is responsible for supporting the management and monitoring of academic programmes, ensuring compliance with Malaysian higher education requirements, including MQA Full Accreditation requirements, JPT/MOHE requirements, academic standards, and relevant regulatory guidelines.

The position will work closely with the Academic Department, Registry, Quality Assurance, and Management to ensure academic programmes are properly implemented, monitored, documented, and maintained in accordance with applicable requirements.

Key Responsibilities

1. MQA Full Accreditation & Compliance

Coordinate and monitor documentation and requirements related to MQA Full Accreditation (FA) for academic programmes.

Assist in preparing, reviewing and maintaining documents required for MQA accreditation and programme compliance.

Monitor academic programme implementation against approved programme standards, curriculum and MQA requirements.

Support preparation for MQA visits, audits, assessments and accreditation-related activities.

Follow up on MQA findings, recommendations and required corrective actions.

2. JPT / MOHE Requirements

Monitor and support compliance with relevant Jabatan Pendidikan Tinggi (JPT) / Ministry of Higher Education (MOHE) requirements.

Assist in matters relating to programme approval, programme information, academic requirements and other regulatory submissions.

Keep updated on relevant changes to JPT, MOHE, MQA and other applicable higher education requirements.

Coordinate with relevant departments to ensure required information and supporting documents are available and up to date.

3. Academic Programme Management

Monitor the implementation of academic programmes, including curriculum, course offerings, teaching arrangements and academic schedules.

Review academic documentation to ensure consistency with approved programme requirements.

Coordinate with lecturers and Academic Coordinators on academic matters and programme requirements.

Monitor academic records and documentation related to programme delivery.

Assist in reviewing and updating academic policies, procedures, SOPs, work instructions and forms where required.

4. Academic Quality & Compliance

Work closely with the Quality Assurance Department on academic compliance and audit requirements.

Assist in internal academic audits, MQA audits and other regulatory compliance activities.

Identify gaps in academic programme implementation and coordinate follow-up actions with relevant personnel.

Maintain proper records and evidence to support compliance and accreditation requirements.

5. Lecturer & Teaching-Related Matters

Support monitoring of lecturer qualifications, teaching requirements and relevant academic documentation.

Assist in ensuring lecturers meet applicable academic and regulatory requirements.

Liaise with lecturers regarding course delivery, academic documentation and programme requirements.

Provide teaching support where required, depending on institutional needs.

6. Reporting & Coordination

Prepare academic compliance reports, programme monitoring reports and other reports required by Management.

Coordinate with Registry, Quality Assurance, Student Affairs, Marketing and other relevant departments on academic matters.

Attend academic meetings and provide updates on programme compliance and accreditation matters.

Perform other academic and regulatory-related duties assigned by Management.

Bachelor's Degree in Education, Academic Management, Business, relevant academic discipline, or related field. (with CGPA 3.5 and above)

Minimum 2 years of teaching experience in a higher education institution, college or university.

Experience in MQA accreditation / Full Accreditation (FA) matters is strongly preferred.

Good knowledge of MQA requirements, JPT/MOHE requirements and Malaysian higher education regulatory requirements.

Experience in academic programme documentation, curriculum management or academic quality assurance will be an advantage.

Familiarity with academic audits, accreditation visits and compliance documentation.

Good written and verbal communication skills.

Strong documentation, coordination and follow-up skills.

Able to work independently and coordinate effectively with academic and administrative departments.
