The Office Administrator is responsible for ensuring the smooth day-to-day operation of the office by providing administrative, coordination, and operational support. The role serves as a key point of contact for internal stakeholders, vendors, and visitors, while maintaining an organized, efficient, and professional working environment.
Office Administration
Manage and maintain office supplies, including stationery, pantry items, and toiletries.
Monitor and track company asset contracts, including renewal schedules.
Maintain organized filing systems and ensure accurate documentation for easy retrieval and smooth information flow.
Collect and distribute mail to relevant departments.
On-site support the onboarding process for new staff, including door access registration, office orientation, and assisting with laptop, email, and equipment setup.
Maintain an up-to-date asset listing to track equipment needs and purchases.
Liaise with vendors, building management, and service providers to ensure timely delivery of services.
Process purchase requests, invoices, and administrative documentation in accordance with company procedures.
Maintain positive working relationships with internal and external stakeholders.
Meeting & Event Coordination
Coordinate meeting room bookings and ensure facilities are prepared for meetings and events.
Support the planning and execution of company events, and employee engagement activities.
Prepare meeting minutes and ensure action items are documented and followed up appropriately.
Documentation & Reporting
Maintain organized filing systems, both electronic and physical.
Prepare periodic administrative reports and track operational expenses where required.
Ensure company records and documentation are accurate, updated, and maintained confidentially.
Company Property, Locker, IT Asset & Workstation Management
Manage company property, employee lockers, and IT assets, including issuance, tracking, maintenance, and return.
Arrange and prepare workstations, equipment, and system access for new employees prior to onboarding.
