Job summary

HOE Pharmaceuticals Sdn Bhd is seeking a Marketing Coordinator who is highly organised and proactive to join the team at our Selangor site. The role focuses on keeping marketing activities running smoothly by coordinating events, suppliers, documentation, purchase orders, expenses, reports and day-to-day admin tasks.

You will work closely with Marketing, Sales and Accounts teams as well as external suppliers, gaining broad exposure to the operational side of marketing in a fast-paced environment.

Qualifications

• Diploma or degree in any discipline.
• Basic understanding of office administration and documentation.
• Good coordination and communication skill.
• Good organisation skills with attention to detail.
• Able to work independently as well as collaborate effectively with team members.
• Proficient in Microsoft Office applications, particularly Excel and PowerPoint.
• Prior experience in marketing administration, coordination, reporting, or the pharmaceutical/healthcare industry will be an added advantage.

Responsibilities

• Prepare meeting minutes and follow up on relevant action items to ensure timely completion.
• Check and compile monthly staff claims and ensure supporting documents are complete.
• Assist with hotel bookings, travel arrangements, and other administrative requirements.
• Maintain proper filing and documentation of marketing-related records.
• Provide day-to-day administrative and coordination support to the Marketing team.
• Assist in preparing marketing reports, presentations, and other materials as required.
• Ensure data, reports, and documentation are accurate, complete, and properly maintained.
• Issue Purchase Orders (POs) once promotions or quotations have been confirmed by the Marketing team.
• Monitor A&P expenses and help ensure spending remains within the approved budget.
• Coordinate with event venues, suppliers, and service providers to ensure smooth and timely arrangements.
• Follow up with suppliers to ensure required materials, deliverables, and services are completed and delivered according to schedule.
• Support other marketing coordination and administrative tasks as needed.

About the role
