Job summary

KPJ Healthcare Berhad is seeking a capable professional to lead the Sustainability Programme Management Office, establishing governance, planning and oversight across the Group’s sustainability initiatives. Qualifications

Responsibilities

  • Establish and maintain PMO standards, templates and review routines for sustainability programmes.
  • Ensure major initiatives have approved charters, defined scope, accountable owners, deliverables, milestones, resource requirements and benefits measures.
  • Develop and maintain programme dashboards and portfolio performance metrics to monitor schedule adherence, budget utilisation, benefits delivery, key risks and sustainability targets.
  • Provide early warning indicators and recommend corrective actions.
  • Maintain a consolidated portfolio register and governance records from initiation through closure.
  • Review the completeness of project documentation and readiness for required decisions, and follow up gaps with programme and project owners.
  • Coordinate the annual sustainability work plan and integrated programme schedule with the other Group Sustainability units, corporate functions and hospitals.
  • Align milestones with approved Group priorities, the Net Zero Roadmap and corporate planning cycles.
  • Consolidate resource and budget requirements with owners and Finance; identify dependencies, competing demands and delivery constraints.
  • Present prioritisation options and resource issues to the Head, Group Sustainability for decision.
  • Manage the sustainability reporting calendar, covering regulatory, Bursa Malaysia, internal governance and other approved submissions.
  • Agree owners, inputs, review dates and approval milestones; track completion and elevate potential delays.
  • Prepare minutes for review and approval; maintain decision and matters-arising logs with clear owners and deadlines.
  • Follow up implementation of decisions, obtain closure evidence and elevate unresolved or overdue actions.
  • Coordinate sustainability inputs for Management and Board committees with the relevant secretariats.

Job description

Manage the Sustainability Programme Management Office (PMO) to provide consistent governance, integrated planning and oversight of the Group’s sustainability programmes. Support the Head, Group Sustainability in translating commitments into coordinated plans with clear owners, milestones and decision points. Manage the reporting calendar, Management Sustainability Committee secretariat and programme records; monitor dependencies, risks and overdue actions. Work with functional and hospital teams to track the Net Zero Roadmap and other approved initiatives, support assurance readiness and integrate sustainability priorities into corporate planning.

2) JOB DESCRIPTION

Programme Governance and Portfolio Oversight

Establish and maintain PMO standards, templates and review routines for sustainability programmes.

Ensure major initiatives have approved charters, defined scope, accountable owners, deliverables, milestones, resource requirements and benefits measures.

Develop and maintain programme dashboards and portfolio performance metrics to monitor schedule adherence, budget utilisation, benefits delivery, key risks and sustainability targets.

Integrated Planning and Roadmap Coordination

Consolidate resource and budget requirements with owners and Finance; identify dependencies, competing demands and delivery constraints.

Reporting Calendar and Management Information

Manage the sustainability reporting calendar, covering regulatory, Bursa Malaysia, internal governance and other approved submissions.

Agree owners, inputs, review dates and approval milestones; track completion and elevate potential delays.

Consolidate programme updates from Project Operations & Delivery and other owners, and validated performance information from Performance & Analytics.

Prepare concise progress packs, highlighting decisions required, for the Head’s review and onward submission through the relevant governance channels.

Committee Secretariat and Meeting Coordination

Act as secretariat to the Management Sustainability Committee (MSC) and coordinate Group Sustainability meetings.

Plan the meeting calendar, prepare agendas and collate papers in consultation with the Chair and Head, Group Sustainability.

Check papers for completeness and circulate them within agreed timelines.

Prepare minutes for review and approval; maintain decision and matters-arising logs with clear owners and deadlines.

Follow up implementation of decisions, obtain closure evidence and elevate unresolved or overdue actions.

Coordinate sustainability inputs for Management and Board committees with the relevant secretariats.

Programme Risks, Issues and Change Control

Maintain a consolidated view of programme risks, issues, dependencies and mitigation actions using inputs from accountable owners.

Assess implications for milestones, resources and sustainability commitments, and facilitate resolution across teams.

Elevate significant delivery risks, delays and resource constraints to the Head, Group Sustainability with practical options.

Coordinate with Group Risk and other control functions where issues require specialist review.

Track proposed changes to scope, cost, timelines or benefits.

Ensure impact assessments and required approvals are recorded before updating plans; maintain a decision trail and communicate authorised changes to affected owners.

Policy Coordination and Document Control

Maintain the sustainability policy and guidance library, including document owners, approval status, versions and review dates.

Coordinate periodic reviews and updates with relevant functions and track implementation of approved requirements.

Support development of sustainability policies, procedures and governance documents through research, stakeholder consultation and coordinated review.

Arrange approval and communication through the appropriate authorities and maintain accessible, controlled records.

Audit Support and Governance Improvement

Coordinate sustainability-related audit and assurance requests with Performance & Analytics, Project Operations & Delivery and other evidence owners.

Maintain programme governance records, track requests and organise access to supporting documentation.

Track audit findings and agreed corrective actions; follow up accountable owners, obtain closure evidence and elevate overdue items.

Recommend improvements to PMO controls, workflows and reporting based on review findings and lessons learnt.

Benefits Realisation & Value Tracking

Monitor programme benefits realisation against approved business cases, including emissions reduction, energy savings, renewable energy generation, green building certification outcomes, waste reduction and other sustainability performance indicators.

Coordinate periodic benefits reviews and report achievement against approved targets.

Monitor approved programme budgets and expenditure against plan, identify forecast variances and support escalation and corrective action where required.

Team Management and PMO Performance

Supervise and develop the Senior Executive, Sustainability PMO.

Allocate work, set objectives, review deliverables and build capability in programme coordination, secretariat support and document control.

Monitor PMO performance through timely reporting and meeting papers, accurate decision records, complete programme documentation, policy reviews, and effective follow-up and escalation of actions.

Improve tools and routines to reduce duplication and administrative delays.

Undertake other relevant responsibilities assigned by the Head, Group Sustainability.

3) JOB REQUIREMENT

Bachelor’s degree in Business, Project Management, Sustainability, Engineering, Finance or a related discipline.

Professional certification in project or programme management, or relevant sustainability training, is an advantage.

Preferably 5-7 years of relevant experience in programme or project management, PMO, corporate planning, governance or sustainability, including coordination across multiple functions or sites.

Experience in integrated planning, management reporting, committee secretariat work, risk and issue tracking, and document control.

Supervisory experience is desirable.

Working knowledge of sustainability programmes, reporting processes, assurance readiness and policy governance.

Healthcare-sector experience and familiarity with Bursa Malaysia, GRI or IFRS S1/S2 reporting are advantages.

Strong planning, prioritisation and analytical skills.

Able to identify dependencies, challenge incomplete updates and translate programme issues into clear recommendations.

Strong stakeholder management, meeting facilitation and team leadership.

Clear communication in English and Bahasa Malaysia, including minutes, management papers and progress reports.

Proficiency in Excel, PowerPoint and portfolio tools; able to maintain schedules, risk and action registers, document libraries and dashboards.

Ability to design governance workflows, maintain approval trails and protect confidential records.

Reporting automation experience is an advantage.

Organised, dependable and proactive, with sound judgement and attention to detail.

Diplomatic and collaborative, while upholding accountability and confidentiality.
