Job summary

Carsome seeks an experienced Operations professional to lead workforce scheduling, capacity optimization and bidding management for our automotive inspection and sales processes in Malaysia. You will coordinate inspectors, monitor SLA/TAT, and drive website funnel education and conversion.

The role requires 5+ years in automotive procurement or sales operations, strong negotiation skills, and the ability to manage large teams in a high-pressure retail environment; willingness to work weekends

Qualifications

• Minimum 5+ years in automotive procurement, sales management, or branch operations.
• Proven track record managing large teams of inspectors or frontline staff under pressure.
• Excellent negotiation and persuasion skills focused on closing high-value retail deals.
• Strong ability to track operational metrics, manage scheduling spreadsheets, and produce weekly performance reports.
• Excellent interpersonal skills to liaise with internal teams and customers.

Responsibilities

• Workforce Scheduling: Strategize and manage daily manpower schedules for inspectors across channels to ensure 100% operational coverage.
• Lead Management: Assign new leads and monitor progress to meet TAT and SLA.
• Capacity Optimization: Review capacity during low and high-volume periods to optimize completion times.
• Website Lead Conversion: Oversee the website funnel and educate customers on the inspection process and flow.
• Deal Negotiation: Own negotiation post-inspection to secure vehicle purchases and meet monthly procurement targets.
• Proactive Follow-ups: Conduct daily follow-ups with pending customers to close deals.
• Bidding Management: Manage post-bidding communication cycle, confirming results and facilitating offer acceptance or rejection.
• Cross-functional Coordination: Liaise with BST team to secure appointment slots and ensure smooth ownership transfer.
• Reporting & Quality Assurance: Manage weekly reports for TCA and provide rapid car value estimations to speed decision-making.

Operational Excellence & Manpower Planning

Workforce Scheduling: Strategize and manage daily manpower schedules for both inbound and outbound inspectors across all channels (BST, NCD Corp, B2B, and Website) to ensure 100% operational coverage.

Lead Management: Promptly assign new leads to the appropriate inspectors and monitor real-time progress to meet strict turnaround time (TAT) and Service Level Agreements (SLA).

Capacity Optimization: Constantly review operational capacity for both low and high-volume retail periods, ensuring completion times are optimized (averaging 20–35 mins per case based on capacity).

Website Lead Conversion: Oversee the website-generated funnel, ensuring customers are clearly educated on the CARSOME inspection process and flow.

Deal Negotiation: Take ownership of the negotiation process post-inspection to secure vehicle purchases and meet monthly procurement targets.

Proactive Follow-ups: Lead daily follow-up activities with pending customers to drive deal confirmation or encourage participation in bidding sessions.

Post-Bidding & Transaction Coordination

Bidding Management: Manage the post-bidding communication cycle, confirming results with customers and facilitating offer acceptance or rejection.

Cross-functional Coordination: Liaise with the BST team to secure appointment slots for successful deals, ensuring a seamless ownership transfer and transaction experience.

Reporting & Quality Assurance

TCA Compliance: Manage the weekly reporting for the TCA team, ensuring data accuracy for all inspection reports (averaging 3–5 reports per inspector based on capacity).

Valuation Support: Support the B2C CC team by providing rapid car value estimations to expedite customer decision-making and improve conversion rates.

Your Know-How

Minimum 5+ years of experience in automotive procurement, sales management, or branch operations.

Proven track record of managing large teams of inspectors or frontline staff in a high-pressure environment.

Exceptional negotiation and persuasion skills with a focus on closing high-value retail deals.

Strong ability to track operational metrics, manage scheduling spreadsheets, and produce accurate weekly performance reports.

Excellent interpersonal skills to manage both internal stakeholders (BST, TCA, B2C) and external customers.

Ability to work 6 days a week (including weekends) in a retail/branch-based setting.
