Qualifications

• Familiar with HS code classification and regulatory requirements.
• Understanding of customs compliance and trade procedures.
• Experience coordinating with carriers, freight forwarders and logistics partners.
• Ability to monitor vendor performance via KPIs and cost measures.
• Experience with cost analysis and budgeting for logistics operations.

Responsibilities

• Prepare, verify, and maintain import/export documents (invoices, packing lists, COO, B/L).
• Classify goods under HS codes and ensure customs compliance.
• Coordinate with customs brokers for timely clearance of shipments.
• Coordinate shipment bookings with carriers; track vessel schedules and arrange trucking/warehousing.
• Issue shipping instructions and prepare pre-alerts for inbound/outbound cargo.
• Coordinate and monitor cargo loading/unloading to ensure SOP compliance.
• Manage shipment exceptions and implement corrective actions to prevent recurrence.
• Serve as primary contact for 3PLs, freight forwarders, trucking companies and brokers.
• Monitor KPIs such as on-time delivery, cost accuracy, and regulatory compliance.
• Escalate service issues and propose improvements to logistics reliability.
• Analyse freight, transport, and logistics costs to identify savings opportunities.
• Prepare weekly and monthly logistics performance reports; support budgeting and forecasting.

Job description

Prepare, verify, and maintain all import and export documents including commercial invoices, packing lists, COO, B/L, and other regulatory forms.

Ensure correct goods classification under proper HS Codes and full compliance with Malaysian and international customs regulations.

Coordinate with customs brokers to ensure smooth and timely clearance of shipments.

Coordinate shipment bookings with carriers and freight forwarders; track vessel schedules and arrange trucking, warehousing, and related logistics activities.

Issue shipping instructions and prepare pre-alerts for all inbound and outbound cargo.

Coordinate and monitor cargo loading/unloading to ensure proper handling and compliance with SOPs.

Manage shipment exceptions including delays, damages, or documentation errors, and implement corrective actions to prevent recurrence.

Serve as the primary point of contact for 3PLs, freight forwarders, trucking companies, and customs brokers.

Monitor vendor performance using key KPIs such as on-time delivery, cost accuracy, and regulatory compliance.

Escalate service issues and propose improvements to enhance logistics reliability.

Analyse freight, transport, and logistics costs to identify savings opportunities such as consolidation or route optimization.

Prepare weekly and monthly logistics performance reports (cost analysis, transit time, DIFOT, exceptions).

Support budgeting and forecasting activities for logistics cost planning.
