FAIR WORK (M) SDN. BHD. is seeking an administrative professional to manage invoicing, visa coordination, and client liaison in a cross-cultural environment.
The role requires sharp attention to documentation and deadlines, with responsibilities spanning invoicing, visa applications, and immigration matters. Invoice Preparation: Independently prepare, verify, and submit service-related invoices, including transport and hostel charges, accurately and within the required timeline.
PVP / EP Applications: Coordinate and follow up on Professional Visit Pass (PVP) and Employment Pass (EP) applications, renewals, and related documentation.
Visa Applications: Handle and monitor visa applications, renewals, and immigration-related matters, ensuring all required documents are complete and submitted on time.
Client Liaison: Communicate and coordinate with clients regarding invoicing, transport, hostel, visa, PVP, EP, and other operational matters.
Government / Immigration Liaison: Travel to immigration offices, government agencies, or client premises when required to complete assigned tasks.
Documentation Support: Prepare, verify, organize, and maintain relevant documents and records. Assist with translation and document preparation, particularly for China-based clients.
Follow-up & Coordination: Monitor pending invoices, applications, approvals, renewals, and outstanding documents, ensuring timely follow-up.
Ad-hoc Assignments: Perform other operational, administrative, and account-related tasks as assigned by management.
Experience in invoicing, transport/hostel coordination, or foreign worker management will be an advantage.
Familiarity with PVP, Employment Pass (EP), visa applications, and immigration processes is highly preferred.
Excellent command of English and Bahasa Malaysia, both written and spoken.
Proficiency in Chinese/Mandarin is a strong advantage due to frequent communication and document translation for China-based clients.
Strong attention to detail, particularly in invoicing, documentation, and application processing.
Good Microsoft Office and Excel skills.
Strong communication, coordination, and follow-up skills.
Able to manage multiple tasks and meet deadlines with minimal supervision.
Willing to travel to immigration offices, client premises, or other locations when required.
Flexible, proactive, responsible, and able to handle ad-hoc assignments and operational matters.
