Junior / Executive, Inventory Order Management (Shipment)
Responsible for managing and coordinating daily order fulfilment, inventory movement, inbound and outbound shipments and delivery activities. The role works closely with warehouse, inventory planning, transport providers, freight forwarders, shipments are processed accurately, efficiently, and delivered on time.
Key Responsibilities
Order & Shipment Management
- Process and coordinate daily customer orders, inter-branch transfers, inbound and outbound shipment requests.
- Plan and schedule daily inbound and outbound shipments according to order requirements and stock availabililty.
- Coordinate with the warehouse and inventory planning teams to ensure stock readiness for customer orders and shipments.
- Liaise with transport providers, drivers, freight forwarders, shipping lines, and customs agents to arrange deliveries, collections and shipments.
- Arrange container bookings and coordinate shipment schedules to optimize container utilization and transportation efficiency.
- Monitor shipment schedules and ensure timely delivery to customers and relevant destinations/regions.
Shipping Documentation
- Prepare, verify, and maintain accurate shipping and delivery documents, including Delivery Orders (DO), invoices, packing lists, consignment notes, Bills of Lading (BL), Air Waybills (AWB), Shipping Instructions, and other relevant documents.
- Ensure all shipment documentation is complete, accurate and prepared according to company procedures and customer requirements.
- Maintain proper filing and records of shipment and delivery documentation.
Inventory & System Management
- Ensure accurate processing of Delivery Orders (DO), Goods Receipts (GR), shipment transactions and inventory movements in the ERP/WMS system.
- Update shipment information, delivery status, Proof Of Delivery (POD), and other relevant information in the system accurately and promptly.
- Monitor inventory and shipment records and coordinate with relevant teams to resolve discrepancies or system-related issues.
- Monitor shipment and delivery status and proactively follow up on potential delays or exceptions.
- Investigate and resolve shipment delays, documentation issues, delivery exceptions, and operational discrepancies in coordination with the relevant parties.
- Escalate critical operational issues to the Senior Executive/Manager and provide timely updates until resolution.
Reporting & Administration
- Prepare and maintain accurate daily, weekly and monthly shipment and order management reports.
- Monitor shipment performance, delivery status, and operational activities to support management decision-making and continuous improvement.
- Maintain accurate and up-to-date shipment, order and inventory records.
- Respond to operational enquiries from internal departments and provide timely support on order, shipment, and delivery matters.
- Ensure all activities are carried out in accordance with company policies, procedures and operational requirements.
- Perform other duties and responsibilities as assigned by the Manager or Senior Management.
Key Requirements
- Candidates must possess at least a Primary/Secondary School qualification, SPM/O Level, Higher Secondary/STPM/A Level/Pre-U, Bachelor’s Degree, Postgraduate Diploma, or Professional Degree in any field.
- Able to read, write, and communicate effectively in both English and Bahasa Malaysia.
- Fresh graduates are encouraged to apply. Candidates with at least 1 year of working experience in the logistics field will have an added advantage.
- Good time management and organizational skills.
- Computer literate with good knowledge of Microsoft Word, Excel, PowerPoint, and other relevant software.
- Possess good leadership and interpersonal skills.
- Good communication skills with the ability to communicate effectively with staff at all levels.
- Positive attitude, responsible, disciplined, and able to work independently as well as in a team.
