Job summary

ARA TechBis Sdn. Bhd. is seeking an experienced IT Project Coordinator to join our growing team. You will coordinate multiple IT projects, assist Project Managers, track milestones, risks, and action items, and ensure on-time delivery within scope and budget.

The role requires a solid IT background, 5+ years of project coordination experience, and strong communication skills in English. Travel to customer sites may be required, and familiarity with MS Project and collaboration tools is a plus.

Qualifications

• Bachelor's Degree or Diploma in Information Technology, Computer Science, Engineering, Project Management, or a related discipline.
• Minimum five (5) years of relevant experience in IT project coordination, project administration, or project management support.
• Experience coordinating software development, system integration, infrastructure, networking, cybersecurity, Industry 4.0, or digital transformation projects will be an added advantage.
• Good understanding of project management methodologies and project life cycle.
• Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Microsoft Project or similar project management tools.
• Familiarity with project collaboration platforms such as Microsoft Teams, Jira, Trello, Asana, or equivalent is an advantage.
• Strong organisational, planning, and multitasking skills with the ability to manage multiple projects simultaneously.
• Excellent written and verbal communication skills in English. Proficiency in Bahasa Malaysia is an added advantage.

Responsibilities

• Coordinate and monitor multiple IT projects to ensure timely delivery within scope, budget, and quality requirements.
• Assist Project Managers in project planning, scheduling, resource coordination, and project execution.
• Track project milestones, deliverables, risks, issues, and action items, ensuring timely follow-up and resolution.
• Coordinate project meetings, prepare agendas, record minutes, and monitor the closure of action items.
• Liaise with clients, vendors, consultants, subcontractors, and internal stakeholders to ensure effective communication throughout the project lifecycle.
• Maintain complete and accurate project documentation, including project plans, reports, change requests, and technical documentation.
• Monitor procurement activities, equipment delivery schedules, and vendor performance to support project implementation.
• Prepare weekly and monthly project status reports for management and clients.
• Coordinate testing, commissioning, training, and project handover activities where applicable.
• Ensure compliance with company policies, project procedures, quality standards, and ISO requirements.
• Identify project risks and recommend appropriate mitigation measures.
• Support continuous improvement initiatives by identifying opportunities to enhance project coordination, reporting, and administrative processes.
• Perform any other duties assigned by Management.
