Qualifications

  • Familiarity with AV control systems such as Crestron and Extron.
  • Proficiency in video conferencing platforms such as Teams, Zoom, and Webex.
  • Strong troubleshooting, analytical, and problem-solving skills.
  • Good communication and interpersonal skills to support users at different levels.

Responsibilities

  • Set up, operate, and maintain AV equipment for meetings and events.
  • Provide on-site AV support for meetings, conferences, and hybrid events.

Job description

The IT Assistant (Audio & Visual) is responsible for the setup, operation, maintenance, and technical support of the organisation's audio-visual (AV) systems and equipment. The role provides AV support for meeting rooms, corporate events, hybrid meetings, live streaming, and recording activities.

The incumbent will be responsible for troubleshooting AV-related technical issues, maintaining equipment and inventory records, supporting end-users, coordinating with external vendors, and conducting preventive maintenance to ensure reliable, high-quality, and uninterrupted AV services across the organisation.

Key Responsibilities

AV Operations and Support

  • Set up, operate, and maintain audio-visual equipment, including projectors, cameras, microphones, audio mixers, LED displays, video switchers, and related AV systems.
  • Provide AV setup and on-site technical support for meeting rooms, conferences, corporate events, presentations, and other organisational activities.
  • Support live streaming, video recording, and hybrid meeting requirements as needed.
  • Conduct pre-event testing and equipment checks to ensure all AV systems are functioning properly before meetings and events.
  • Provide technical support for video conferencing platforms and systems, including Microsoft Teams Rooms, Zoom, and Webex.
  • Configure and troubleshoot audio, video, display, camera, microphone, and connectivity issues during virtual and hybrid meetings.
  • Assist users with the operation of video conferencing and meeting room equipment.

Troubleshooting and Technical Support

  • Diagnose, troubleshoot, and resolve AV-related technical issues involving audio, visual, control, and conferencing systems.
  • Perform basic fault finding, equipment testing, and corrective actions to minimise service disruptions.
  • Escalate complex technical issues to the IT Manager, relevant technical teams, or external vendors where required.
  • Maintain records of reported AV issues, troubleshooting activities, and resolutions.

AV Asset and Inventory Management

  • Maintain accurate records of AV equipment, accessories, and related IT assets.
  • Conduct periodic physical inventory checks and asset audits to ensure equipment records remain accurate and up to date.
  • Monitor the condition, availability, and utilisation of AV equipment.
  • Ensure AV equipment is properly stored, handled, and maintained.

Preventive Maintenance

  • Carry out scheduled preventive maintenance and routine inspections of AV equipment and systems.
  • Identify potential equipment failures or performance issues and recommend appropriate corrective or preventive actions.
  • Maintain documentation and performance reports relating to AV maintenance and equipment condition.

End-User Support and Training

  • Provide guidance and technical assistance to staff and end-users on the proper use of AV systems and meeting room equipment.
  • Conduct basic user training and demonstrations on AV equipment and video conferencing systems.
  • Develop or maintain simple user guides and reference materials where required.
  • Liaise with external AV vendors and service providers for equipment servicing, repairs, maintenance, warranty claims, and technical support.
  • Coordinate service appointments and follow up on outstanding technical issues to ensure timely resolution.
  • Assist in evaluating equipment and service requirements and provide relevant technical input to the IT Manager.

Multi-Campus and Other Support

  • Provide occasional AV technical support across multiple campuses based on operational requirements.
  • Assist with AV-related projects, equipment upgrades, system installations, and implementation activities.
  • Support other ICT-related activities and assignments as directed by the IT Manager.
Skills and Experiences

Required Qualifications

  • Diploma or Degree in Information Technology, Multimedia, Electronics, Audio Visual Technology, or a related field.
  • Working knowledge of AV systems and equipment, including projectors, LED displays, audio mixers, wireless microphones, cameras, and video switchers.
  • Familiarity with AV control systems such as Crestron and Extron.
  • Proficiency in video conferencing platforms, including Microsoft Teams, Zoom, and Webex.
  • Strong troubleshooting, analytical, and problem-solving skills.
  • Good communication and interpersonal skills, with the ability to provide technical support to users at different levels.

Preferred Qualifications

  • Prior experience in AV systems support, ICT support, or a similar technical role.
  • Experience supporting corporate meetings, conferences, events, hybrid meetings, live streaming, or video recording.
  • Experience with AV control systems, room automation, and integrated meeting room solutions.
  • Experience coordinating with external vendors for equipment servicing, maintenance, and warranty support.
  • Basic knowledge of networking and connectivity concepts relevant to AV and video conferencing systems.
