Job summary

Smartlink Engineering Sdn Bhd is seeking an Integrated Management System (IMS) Executive to support the implementation, maintenance, and continual improvement of the company’s IMS. This role ensures processes comply with ISO standards, customer requirements, and internal procedures.

Responsibilities include maintaining IMS documentation, conducting internal audits, coordinating audits, and driving corrective/preventive actions with cross-functional teams.

Qualifications

• Diploma or degree in quality management, engineering, manufacturing.
• Minimum 2 years of ISO, quality assurance, IMS experience in manufacturing.
• Experience with internal audits and documentation control.
• Knowledge of ISO 9001, ISO 14001, ISO 45001.
• Strong analytical and problem-solving abilities.
• Good communication and cross-functional teamwork.

Responsibilities

• Maintain and improve IMS documentation, procedures, and records.
• Support ISO management systems for Quality, Environmental, and OH&S.
• Ensure all departments comply with procedures and process requirements.
• Manage IMS document control including revision and distribution.
• Plan and conduct internal audits to verify compliance and effectiveness.
• Assist in external certification and customer audits.
• Prepare NCRs, corrective actions, and monitor closures.
• Identify improvements with departments and implement CAPA.
• Monitor KPIs related to quality and IMS objectives.
• Assist risk assessments and safety/compliance activities.
• Provide IMS training and awareness to employees.
• Prepare reports for management reviews and support improvement projects.

As part of our business expansion, we are looking for a dedicated Integrated Management System (IMS) Executive to support the implementation, maintenance, and improvement of our management systems and ensure compliance with applicable standards and customer requirements.

Job Summary:

The IMS Executive is responsible for supporting the development, implementation, maintenance, and continual improvement of Smartlink Engineering’s Integrated Management System. This role ensures company processes comply with applicable ISO standards, customer requirements, and internal procedures while promoting a culture of quality, safety, and continuous improvement within the organisation.

Key Responsibilities:

• Maintain and continuously improve the company’s Integrated Management System (IMS) documentation, procedures, and records.
• Support the implementation and monitoring of ISO Management Systems, including Quality, Environmental, and Occupational Health & Safety requirements.
• Ensure all departments comply with established procedures, policies, and process requirements.
• Manage document control activities, including preparation, review, revision, and distribution of IMS-related documents.
• Plan, coordinate, and conduct internal audits to verify compliance and effectiveness of processes.
• Support external certification audits, customer audits, and regulatory inspections.
• Prepare audit findings, non-conformance reports (NCR), corrective action reports, and monitor closure status.
• Work closely with respective departments to identify improvement opportunities and implement corrective and preventive actions.
• Monitor key performance indicators (KPIs) related to quality, process performance, and IMS objectives.
• Assist in conducting risk assessments, environmental aspects assessments, and safety-related compliance activities.
• Provide guidance and awareness training to employees on IMS requirements and company procedures.
• Prepare reports, presentations, and documentation for management review meetings.
• Support continuous improvement projects to enhance operational efficiency and compliance.

Requirements:

• Candidate must possess at least a Diploma/Degree in Quality Management, Engineering, Manufacturing, or related field.
• Minimum 2 years of experience in ISO, Quality Assurance, IMS, or manufacturing environment.
• Knowledge of ISO 9001 requirements is required.
• Familiarity with ISO 14001 and ISO 45001 requirements will be an added advantage.
• Experience in internal auditing and documentation control is preferred.
• Strong analytical, problem-solving, and organisational skills.
• Good communication skills and ability to work with cross-functional teams.
• Proficient in Microsoft Office applications.
• Able to work independently and manage multiple tasks effectively.

Preferred Skills:

• ISO 9001 / ISO 14001 / ISO 45001 knowledge.
• Internal Auditor certification is an advantage.
