Job summary

PureGen Water Sdn Bhd in Malaysia is seeking a Sales Administrator with 1–3 years’ experience to manage orders, support the sales team, and ensure accurate records in ERP systems. Strong English and Bahasa Malaysia skills are required; Mandarin is a plus.

Qualifications

• Diploma or Bachelor’s Degree in Business Administration, Marketing, Logistics, or equivalent.
• 1–3 years of experience in sales administration, customer service, or order processing.
• Proficiency in English and Bahasa Malaysia; Mandarin/local dialects are a plus.
• Hands-on with MS Office and familiarity with local accounting/ERP software (AutoCount/SQL/UBS).
• Detail-oriented with strong multitasking and communication skills.

Responsibilities

• Process customer PO, SO, tax invoices, DO, and official quotations.
• Answer calls, handle walk-in/inbound WhatsApp inquiries, and update clients on delivery status.
• Assist outdoor sales reps with stock checks, pricing, and client documentation.
• Maintain records in inventory/ CRM systems (AutoCount, SQL, UBS, SAP, Salesforce).
• Coordinate with warehouse, logistics, and finance for correct billing and timely shipments.
• Send payment reminders to clients for overdue invoices.

• Order Management: Process customer Purchase Orders (PO), issue Sales Orders (SO), tax invoices, delivery orders (DO), and official quotations.
• Customer Care: Answer incoming calls, handle walk-in/inbound WhatsApp inquiries, follow up on pending quotations, and update clients on delivery status.
• Sales Team Assistance: Act as the main contact point for outdoor sales reps, assisting them with stock checks, pricing details, and client documentation.
• System & Data Entry: Maintain accurate records in internal inventory/CRM systems (e.g., AutoCount, SQL Account, UBS, SAP, or Salesforce).
• Cross-Department Liaison: Coordinate directly with warehouse, logistics, and finance teams to ensure correct billing and timely shipments.
• Basic Payment Tracking: Support the accounts team by sending payment reminders to clients for overdue invoices.

Candidate Requirements

• Education: Diploma or Bachelor’s Degree in Business Administration, Marketing, Logistics, or equivalent. (SPM/STPM holders with 2+ years of relevant experience are also widely accepted).
• Experience: 1 to 3 years of experience in sales administration, customer service, or order processing. Fresh graduates are encouraged to apply.
• Language Skills: Proficiency in English and Bahasa Malaysia (both written and spoken). Fluency in Mandarin or local dialects is a strong advantage in SME/B2B sectors.
• Technical Skills: Proficiency in Microsoft Office (Excel, Word) and hands-on experience with local accounting/ERP software (AutoCount, SQL, UBS) is highly preferred.
• Soft Skills: Detail-oriented, strong multitasking skills, and comfortable communicating over phone/email.

• Basic Salary: RM 2,600 – RM 3,000
