Seeking a dedicated and organised Human Resources Assistant to join our team on a full-time basis in Perai, Penang. This is a key administrative support position that plays an integral role in supporting our Human Resources department. You will provide essential administrative and operational support to HR functions, contributing directly to the effective management of our workforce and the smooth operation of HR processes across the organisation.
Providing comprehensive administrative support to the Human Resources team.
Processing and maintaining employee records, ensuring all documentation is accurate, up-to-date, and properly filed in compliance with organisational policies.
Ensure compliance with immigration regulations and government policies, including foreign workers’ applications and permit renewals.
Ensure hostels meet government regulations and are well-maintained.
Lead employee engagement programs and handle disciplinary issues.
Manage foreign employees, including EP applications, insurance, taxation and related matters.
Monitor employee attendance, leave records, and performance appraisal data.
Supporting the preparation and distribution of HR correspondence, policies, and announcements to staff
Assisting with the coordination of employee induction programmes and onboarding activities
Supporting the organisation and administration of HR-related events, training sessions, and employee engagement activities
Providing general administrative support such as photocopying, filing, data entry, and general office duties as required
Assisting with the compilation of HR reports and documentation for management review
Liaising with employees to respond to routine HR enquiries and providing basic HR guidance
A minimum of 2 - 5 years' experience in an administrative or HR support role, or equivalent experience in an office environment
Experience in foreign worker management and work permit administration is an added advantage.
Strong organisational and time management skills, with the ability to prioritise multiple tasks and meet deadlines
Excellent written and verbal communication skills in English and Bahasa Malaysia
Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook
A professional approach to confidentiality and data protection, with an understanding of the sensitivity of HR information
Strong attention to detail and accuracy, particularly when handling employee records and documentation
A proactive and helpful approach to supporting colleagues and responding to requests
Knowledge of Malaysian employment laws and HR practices is advantageous
A commitment to maintaining confidentiality and upholding professional standards in all HR matters
