Responsibilities

• Payroll administration: process monthly payroll, deductions, allowances, and bonuses while ensuring confidentiality.
• Attendance management: verify attendance records and coordinate with payroll processing.
• Performance management: assist with annual appraisals, confirmations, promotions, and transfers.
• Reporting & analysis: prepare salary reports and ad-hoc HR reports for management.
• RBA compliance & workplace standards: uphold ethical practices and assist audits.
• Ad-hoc duties: support HR operations as needed.

Job description

To support the HR department in managing payroll, attendance, compensation & benefits, and HR administration in a manufacturing environment. The role ensures accurate payroll processing, proper workforce data management (including production and subcontractor workers), and compliance with statutory requirements and company policies.

Job Responsibilities:

Payroll Administration

– Manage and process monthly payroll accurately and on time, including salary calculations, overtime, allowances, bonuses, salary advances, statutory deductions, and other payroll-related transactions. Verify employee and subcontractor attendance records to ensure payroll accuracy. Ensure compliance with company policies and statutory requirements while maintaining payroll records, reports, and confidentiality.

Attendance Management

– Monitor, verify, and maintain accurate employee attendance records, including those of subcontractor employees. Ensure attendance data is properly recorded, discrepancies are resolved promptly, and records are submitted in a timely manner for payroll processing and compliance purposes.

Performance Management

– Coordinate and process performance appraisals for annual reviews, employee confirmations, promotions, and transfers, ensuring timely completion and proper documentation in accordance with company policies.

Reporting & Analysis

– Prepare accurate and timely HR reports, including salary reports, medical claims reports, absence and lateness reports, and other ad-hoc management reports as required. Ensure all data is properly compiled, verified, and presented in a clear and consistent format to support decision‑making and HR operations.

RBA Compliance & Workplace Standards

– Ensure compliance with Responsible Business Alliance (RBA) requirements by maintaining ethical workplace practices, promoting safe, clean, and hygienic working conditions (including canteen and employee facilities), supporting worker welfare initiatives, and ensuring full preparedness for internal and external RBA audits.

Ad-hoc Duties

– Perform any other HR‑related tasks or assignments as directed by Superior from time to time to support overall HR operations and departmental needs.

Job Requirements:

SPM or Diploma in any discipline.

Knowledge of Employment Act 1955 and related labour laws (Industrial Relations Act, EPF, SOCSO, Income Tax).

Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).

Strong attention to detail with good organizational skills.

Able to work under pressure and meet deadlines.

Good communication and interpersonal skills.

Able to follow instructions and work independently or in a team.

Positive, proactive, and willing to learn.
