Job summary

Total E&P Malaysia seeks an HR data and payroll specialist to manage master data in HRIS/SAP, perform quality checks, and produce essential HR reports. You will consolidate data, identify trends, and keep organization charts up-to-date, supporting leadership with clear insights for decision-making.

The role also covers payroll back-up, validation, and participation in salary reviews, bonus cycles, benchmarking surveys, and ensuring statutory compliance and audit readiness across HR processes.

Qualifications

• Maintain accurate employee master data in HRIS / SAP and related HR records.
• Perform data quality checks, reconciliations and clean-up for consistency.
• Prepare recurring and ad-hoc HR reports including headcount and demographics.
• Consolidate and analyze HR data to identify trends, risks and opportunities.
• Update organization charts based on changes and inputs from management.

Responsibilities

HR Data, HRIS Master Data Management & Reporting

• Maintainaccurateemployee master data in HRIS / SAP and related HR records, including employee profiles, employment status, position details, reporting lines, costallocationand movement history, ensuring accuracy and compliance with statutory requirements (EPF, SOCSO, income tax, final pay calculations).
• Perform regular data quality checks,reconciliationsand clean-up to ensure consistency between HRIS, payroll inputs, employee files, organizationchartsand management reports.
• Prepare recurring and ad-hoc HR reports including headcount, employee movements, absenteeism, leaveutilization, workforce demographics, payroll-relateddataand other HR KPIs.
• ConsolidateandanalyzeHR data toidentifytrends, exceptions,risksand improvement opportunities, andprovideclear insights to support P&S and management decision-making.
• Update andmaintainthe organization chart based on approved changes and inputs from Head of Operations / relevant management stakeholders.

Payroll Back-Up, Compensation & Rewards Support

• Serve as back-up for end-to-end payroll processing to ensure business continuity, including payroll data consolidation, input validation, payroll checking, statutory inputverificationand coordination with relevant stakeholders.
• Support payroll controls through reconciliation of employee movements, unpaid leave, overtime / allowances where applicable, benefits deductions, final payinputsand statutory contributions.
• Assistin salary review exercises, bonus cycles and other reward campaigns through data preparation, validation, eligibility checking, modelling support and tracking of approvals.
• Support participation in external compensation and benefits benchmarking surveys, including data extraction, validation, submissionpreparationand follow-up clarification.

Statutory Compliance, Contract Stamping & Audit Support

• Coordinate contract stamping andmaintainevidence of stamping or other statutory documentation as applicable to employment contracts and HR records.
• Assistin ensuring HR administrative practicescomply withMalaysian statutory requirements, internal policies, delegation of authority, document retentionexpectationsand PDPA confidentiality obligations for all Compensation & Benefit processes.
• Support internal and external audits by preparing requested HR evidence, performing pre-audit checks, ensuring documentationcompletenessandmaintainingclear audit trails. Track gaps or exceptionsidentifiedthrough HR data checks, audit preparation or process reviews, and supporttimelyremediation with responsible owners.

Process Improvement & General HR Support

• Contribute to improvement and standardization of HR processes, templates,trackersand dashboards to strengthen efficiency,governanceand employee experience.
• Support HR digitalization or reporting initiatives, including data preparation, dashboard inputs and process documentation whererequired.
• Undertake other HR operations, rewards, reporting,complianceor administrative assignments.
• Undertake additional assignments or ad-hoc tasks as required.
