Job summary

NSK Grocer (KL) Sdn Bhd is seeking an HR professional to manage foreign worker administration, hostel operations, and training coordination within our supermarket environment.

You will ensure compliance with immigration and labor regulations, oversee recruitment, onboarding, and deployment with approved agencies, and maintain accurate records for audits and government checks. The role includes welfare, safety, and payroll collaboration to support a large workforce.

Job description

To manage the full spectrum of foreign worker administration, hostel (accommodation) management, and training coordination, ensuring full compliance with immigration and labor regulations while supporting employee welfare, development, safety, and operational readiness within the supermarket environment.

Manage end-to-end recruitment, onboarding, and deployment of foreign workers in coordination with approved recruitment agencies.

Handle work permit applications, renewals, transfers, and cancellations in compliance with relevant authorities.

Maintain accurate and up-to-date personnel records for all foreign workers.

2. Compliance & Documentation

Ensure full compliance with immigration laws, labor regulations, and company policies.

Monitor validity of passports, work permits, medical check-ups, insurance coverage, and statutory requirements.

Prepare and maintain documentation for audits, inspections, and government authority compliance checks.

Oversee foreign worker hostel operations including room allocation, bed arrangement, and occupancy control.

Ensure hostel facilities comply with local authority regulations, safety standards, hygiene, and cleanliness requirements.

Conduct regular hostel inspections covering safety, cleanliness, maintenance, and discipline compliance.

Coordinate maintenance, repairs, pest control, cleaning services, and facility improvements.

Maintain accurate hostel occupancy records and monitor worker movement and attendance.

Enforce hostel rules and ensure discipline in accordance with company policy.

4. Training & Development

Plan, coordinate, and conduct orientation programs for newly arrived foreign workers, including company policies, safety rules, and hostel regulations.

Organize mandatory training such as workplace safety, hygiene, equipment handling, and supermarket operational procedures.

Maintain training records, attendance, and evaluation reports for all foreign workers.

Liaise with department supervisors to identify training needs and skill gaps.

Support continuous on-the-job training to improve performance and compliance.

Ensure workers understand SOPs related to store operations, customer service, and safety standards.

5. Onboarding & Offboarding

Coordinate arrival, induction, hostel allocation, and orientation of foreign workers.

Manage transportation, documentation, and welfare arrangements upon arrival.

Handle repatriation processes including hostel clearance, handover procedures, and exit formalities upon contract completion or termination.

6. Employee Welfare & Relations

Serve as the main contact point for foreign workers regarding HR, hostel, and training matters.

Address grievances, disciplinary issues, and welfare concerns in a timely and professional manner.

Ensure safe, compliant, and healthy living and working conditions for all foreign workers.

Liaise with immigration authorities, recruitment agencies, embassies, and local regulatory bodies.

Coordinate with supermarket operations teams to ensure manpower and training needs are met.

Work closely with payroll to ensure accurate salary processing and deductions where applicable.

8. Reporting & Administration

Maintain updated reports on foreign worker headcount, permit status, hostel occupancy, and training records.

Prepare monthly HR, hostel, and training reports for management review.

Support internal and external audits, inspections, and compliance reviews.

Requirements / Qualifications:

Diploma or Bachelor’s Degree in Human Resources, Business Administration, or related field.

Minimum 2-3 years of HR experience, preferably in foreign worker management, hostel management, or retail/supermarket industry.

Strong understanding of immigration laws and foreign worker regulations.

Experience in training coordination or HR development is an advantage.

Strong organizational, communication, and documentation skills.

Ability to multitask and manage operational HR functions effectively.

Preferred Skills:

Experience working with government authorities and recruitment agencies.

Familiarity with HR systems, payroll, and training record systems.

Ability to manage multiple hostels or large workforce groups.

Multilingual ability is an advantage.
