As a Personnel Services Executive, you will be responsible for overseeing employee accommodations and welfare services while ensuring a safe, comfortable, and compliant living environment for employees residing in company-provided hostels and residences.
You will manage accommodation operations, coordinate facility maintenance, handle employee accommodation matters, and support hostel licensing and regulatory compliance requirements. This role requires close collaboration with government agencies, local authorities, internal stakeholders, and service providers to maintain operational excellence and compliance with applicable laws and regulations.

Manage the day-to-day operations of employee accommodations and residential facilities.
Conduct regular inspections of employee hostels, residences, and common areas to ensure cleanliness, safety, security, and compliance with company standards.
Coordinate maintenance, repair, and improvement works with relevant departments, contractors, and service providers.
Handle employee accommodation enquiries, requests, complaints, and feedback in a professional and timely manner.
Monitor room allocation, occupancy records, accommodation inventory, and utilization rates.
Ensure accommodation facilities remain conducive, safe, and comfortable for employees.
Coordinate and assist in the application, renewal, and maintenance of employee hostel licenses with relevant government authorities and regulatory bodies.
Liaise with local councils, enforcement agencies, government departments, and other stakeholders on matters relating to employee accommodation.
Ensure employee accommodations comply with all applicable legislation, safety requirements, licensing conditions, and company policies.
Prepare and maintain documentation required for audits, inspections, license renewals, and statutory compliance.
Coordinate site inspections by government authorities and ensure timely rectification of any findings.
Monitor license expiry dates and ensure all renewals are completed within the stipulated timelines.
Support initiatives aimed at enhancing employee welfare and overall living conditions within company accommodations.
Assist employees with accommodation-related matters and service requests.
Monitor employee feedback regarding accommodation facilities and recommend improvements where necessary.
Work closely with internal departments to ensure employee welfare needs are addressed effectively.
Foster positive employee relations through responsive and customer-focused service delivery.
Maintain accurate records, reports, and documentation related to accommodation administration and personnel services.
Prepare periodic reports on occupancy trends, accommodation utilization, maintenance issues, and hostel compliance matters.
Monitor service contracts and vendor performance related to accommodation facilities.
Assist in budget monitoring and cost control initiatives for employee accommodation operations.
Ensure adherence to company policies, procedures, and workplace safety standards.
Support departmental projects and perform other duties assigned by management.
Bachelor's Degree in Human Resource Management, Business Administration, Marketing, Mass Communication, Hospitality Management, Property Management, or equivalent.

Relevant experience in employee services, accommodation management, property administration, facilities management, hospitality operations, or human resources will be an added advantage.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Strong administrative, coordination, and organizational skills.
Good communication and interpersonal skills.
Ability to work independently with minimal supervision.
Strong problem-solving and decision-making abilities.
Ability to manage multiple tasks and prioritize workload effectively.
Knowledge of hostel licensing requirements, employee accommodation regulations, or dealings with government authorities will be an added advantage.
Ability to communicate in Mandarin will be an added advantage.
