Genting Malaysia Berhad seeks an Admin Executive for Greenkeepers and Landscape to support departmental activities, including documentation, audit readiness, and asset/store management. The role requires strong communication, ISO 9001:2015 awareness, and ability to work in a team.
Responsibilities cover procurement administration, inter-departmental coordination, and preparation of meeting minutes, ensuring accuracy and adherence to company procedures.
Provides support for Departmental activities such as
Documentation and audit
Format final documents and ensure they are bound and presented in accordance with Department Quality Management System requirements.
Maintain document-control records, including file naming, version control, approval status, distribution, retention and retrieval.
Compile supporting records for internal and external audits and follow up on documentation gaps or corrective actions.
Maintain departmental templates, registers, reports and confidential records in an orderly and accessible manner.
Store materials and asset management
Maintain accurate records of materials and assets kept in the departmental store, including description, identification number, quantity, location, custodian, condition and status.
Coordinate asset tagging, movement, handover, physical verification, maintenance records and disposal documentation in accordance with company procedures.
Conduct periodic reconciliation of stored materials and assets, and promptly report missing, damaged, idle or obsolete items for further action.
Ensure materials and assets are stored securely, clearly labelled and arranged for safe handling and easy retrieval.
Store item management
Receive, inspect and record incoming store items against approved purchase orders, delivery orders or other supporting documents.
Issue store items only against authorised requests and maintain complete records of quantities received, issued, returned and transferred.
Maintain updated stock cards or inventory records and conduct scheduled physical stock counts and reconciliations.
Monitor minimum and maximum stock levels and highlight items requiring replenishment to prevent shortages or excessive stockholding.
Apply suitable stock-rotation practices and promptly identify expired, deteriorated, slow-moving, damaged or obsolete items.
Maintain store cleanliness, labelling, access control and safe storage arrangements in accordance with operational and safety requirements.
Procurement administration
Coordinate departmental purchasing requests by compiling approved specifications, quantities, quotations and supporting documents.
Prepare and track procurement transactions through relevant systems, including purchase requisitions, purchase orders and approval workflows in SAP and Ariba.
Liaise with users, Purchasing, Finance, vendors and other relevant parties to clarify requirements and follow up on approval, delivery, receipt and invoice-documentation issues.
Maintain a procurement tracker and ensure purchases comply with approved budgets, authority limits and company procedures.
Inter-departmental and public communication
Liaise with various departments to obtain clarifications and further information concerning departmental activities.
Liaise with field professionals, business owners and top management to gather information concerning departmental activities.
Group online-system approvals
Provide support for Group-related online-system approval requests, including Email, SAP, Ariba, ESAR, BPM and SuccessFactors.
Meeting minutes and information compilation
Proofread, edit, compose and compile documents and information.
Job requirements:
Bachelor's Degree in Business Administration, Finance, Management or related field
Diploma/ STPM with minimum 3years admin or finance related working experience
Experience with Quality Management System ISO 9001:2015.
Ability to work effectively both independently and in a team-based environment.
Good communication skills in English, Malay and Mandarin.
Ability to work under pressure with minimal supervision.
Basic Microsoft Office skills: Word, Excel, PowerPoint and Project.
Basic understanding of profit and loss (P&L) statements, departmental income and expenditure, budgeting and cost monitoring.
Willingness to travel outstation when required.
