We are looking for a responsible and experienced HR & Admin Executive to join our growing team in Johor Bahru.
The successful candidate will be responsible for the full spectrum of Human Resources and administrative functions, including recruitment, payroll, statutory contributions, employee relations, foreign worker administration, work permits, CIDB personnel documentation and general office administration.
As GBD operates across the construction, interior design and manufacturing sectors, this role will work closely with management, project teams and employees to ensure smooth HR operations, regulatory compliance and effective workforce administration.
Manage the full recruitment cycle, including job postings, candidate screening, interview coordination, selection and onboarding.
Prepare employment letters, contracts, confirmation letters and other HR-related documentation.
Maintain accurate employee records, attendance, leave, personnel files and HR databases.
Handle employee relations, performance management, disciplinary matters, grievances and other HR-related issues.
Develop, review and implement HR policies, procedures and employee guidelines.
Coordinate employee training, development and engagement activities.
Assist management with manpower planning and organisational development.
Prepare and process monthly payroll accurately and on time.
Manage employee attendance, overtime, allowances, deductions, claims and leave records for payroll purposes.
Handle statutory contributions and submissions, including EPF (KWSP), SOCSO (PERKESO), EIS and PCB/MTD.
Maintain accurate payroll records and ensure compliance with relevant Malaysian employment and statutory requirements.
Liaise with relevant government agencies and authorities when required.
Manage foreign worker documentation, employment records and administrative requirements.
Handle applications, renewals and related documentation for work permits, visas and other required employment approvals.
Monitor permit and passport expiry dates and ensure timely renewals.
Coordinate foreign worker matters with relevant government departments, agencies and appointed service providers.
Maintain complete and up-to-date records for all foreign employees.
Manage and maintain CIDB personnel registration and documentation for relevant employees and construction workers.
Monitor CIDB registration validity and coordinate renewals when required.
Maintain employee and worker documentation required for construction projects and site access.
Coordinate with project and site teams to ensure personnel documentation is complete and up to date.
Handle general office administration and day-to-day administrative matters.
Maintain proper filing and documentation for HR, employees and company administrative records.
Coordinate with internal departments, project teams and external service providers.
Support management in company administrative matters and other assigned duties.
Diploma or Bachelor's Degree in Human Resources, Business Administration, Management or a related field.
Minimum 3–5 years of relevant HR and administrative experience.
Hands-on experience in payroll processing, EPF, SOCSO, EIS and PCB.
Experience handling foreign workers, work permits and related government documentation is highly preferred.
Knowledge or experience with CIDB personnel registration and construction industry documentation will be an added advantage.
Good understanding of Malaysian employment laws, statutory requirements and HR practices.
Experience in recruitment, employee relations and HR administration.
Proficient in Microsoft Office and familiar with HR and payroll systems.
Strong organisational skills with good attention to detail.
Able to manage multiple responsibilities and work independently.
Good communication and interpersonal skills.
High level of integrity, professionalism and discretion when handling confidential information.
Experience in the construction, interior design, renovation or manufacturing industry will be an added advantage.
