Job summary

VAT GROUP in Malaysia is seeking a Customer Support Specialist to be the first point of contact for order management and multi‑level customer support. You will coordinate orders, invoicing, and backlogs, while liaising with internal teams across time zones to resolve issues and ensure customer satisfaction.

The role requires strong organizational skills, independent thinking, and Mandarin language ability, with a focus on delivering accurate orders, timely communication, and KPI-driven service

Qualifications

• Bachelor’s degree or related field preferred.
• Mandarin proficiency required due to business needs (China & Taiwan).
• Proficient in MS Office (Excel, Outlook, PowerPoint, Access).
• Ability to develop complex reports and metrics.
• Strong interpersonal and communication skills.
• Independent and multi-tasking capabilities.
• 1–2 years’ experience in customer support/operations.
• Familiarity with production scheduling (ERP) is a plus.

Responsibilities

• Provide professional support for customer orders received via email, phone, portals, and fax.
• Manage end-to-end orders including entry, tracking, backlog management, and compliance with requirements.
• Ensure timely invoicing within Incoterms and payment terms.
• Maintain accurate order history and archival of documents.
• Communicate order issues, risks, delays, or changes to customers.
• Coordinate shipping and distribution with Logistics and Operations.
• Generate quotations from CRM and manage service/return orders.
