Job summary

A.W.Faber-Castell (M) Sdn Bhd in Subang Jaya is seeking a Sales Coordinator (Export & Shipping) to join our export operations. You will coordinate between sales, logistics, and customs to ensure timely, compliant shipments to global markets.

The role requires a diploma or degree in business, logistics or related fields, 2–3 years of export experience, knowledge of Incoterms and export docs, and familiarity with SAP/ERP or MS Office.

Qualifications

• Diploma or Bachelor's Degree in Business Administration, Logistics, Supply Chain Management, International Business or related disciplines.
• 2–3 years of experience in export coordination, shipping, logistics or related fields.
• Knowledge of export documentation, Incoterms and international trade practices.
• Experience with Certificates of Origin and dealing with government authorities such as MITI is an added advantage.
• Good understanding of freight forwarding, customs clearance and international shipping processes.
• Strong coordination, communication and problem-solving skills.
• Detail-oriented with strong organizational and time management abilities.
• Proficient in Microsoft Office applications, particularly Excel and Outlook.
• Experience with SAP or ERP systems will be an advantage.

Responsibilities

• Coordinate and process export shipments from order fulfilment to final delivery.
• Ensure all shipment requirements are completed accurately and within the required timelines.
• Liaise closely with Planning, Production, Warehouse and Distribution Centre (DC) teams to ensure shipment readiness.
• Arrange shipments with shipping lines, freight forwarders and logistics service providers according to customer delivery requirements.
• Prepare, verify and compile shipping documents including commercial invoices, packing lists, bills of lading, certificates and other export documentation.
• Apply for Certificates of Origin and ensure compliance with export regulations and trade agreements.
• Liaise with MITI and other relevant authorities on matters related to Certificates of Origin and export documentation requirements.
• Monitor and verify invoices from shipping agents and logistics providers.
• Ensure customers receive complete and accurate shipping documentation in a timely manner.
• Track shipment progress and proactively resolve shipping and logistics issues.
• Support and provide shipment coordination backup during team members' absence.
• Coordinate with internal and external stakeholders to ensure customer delivery requirements are met.
• Maintain proper shipment records and documentation for audit and compliance purposes.
• Perform any other duties and ad-hoc assignments as assigned by Management.
