Finance Executive - Account Payable - Johor Bahru

About the Role
We are looking for an AP Executive to join our Finance team in Malaysia. This role is based in Malaysia to supports finance operations across both Malaysia and Singapore.
The position offers good exposure to regional finance operations, cross-border processes and commercial activities, with the opportunity to work closely with stakeholders across both offices.
For the right candidate, there may be future opportunities to transfer to the Singapore office, subject to business requirements, individual performance, potential and available opportunities within the organisation.
Key Responsibilities
1. Accounts Payable Operations
- Process supplier invoices accurately and in a timely manner.
- Verify invoice accuracy, supporting documents and approvals in accordance with the Company's Chart of Authority.
- Ensure proper coding of expenses to the appropriate general ledger accounts, cost centres and profit centres.
- Prepare and process weekly and monthly payment runs.
- Process new vendor registrations and ensure vendor information is accurate and free from duplicate registrations.
- Resolve invoice discrepancies and payment issues with internal stakeholders and suppliers.
2. Staff Claims & Business Expense Review
- Verify the completeness and accuracy of supporting documents and approvals in accordance with the Company's Chart of Authority.
- Ensure employee expenses comply with Company policies.
- Ensure proper coding of expenses to the appropriate general ledger accounts, cost centres and profit centres.
- Identify non-compliant or duplicate claims and follow up with employees for clarification.
- Process approved staff claims within the stipulated timeline.
- Monitor outstanding claims and ensure timely settlement.
3. Bank Reconciliation & Cash Flow Management
- Perform daily, weekly and monthly bank reconciliations.
- Investigate and resolve unreconciled items promptly.
- Monitor outgoing payments and ensure accurate recording in the accounting system.
- Coordinate with banks on payment enquiries and banking matters.
- Forecast weekly cash outflows and ensure payment proposals remain within approved limits.
4. Month-End Closing
- Prepare AP-related journal entries and accruals.
- Reconcile Accounts Payable, corporate debit/credit cards and other balance sheet accounts.
- Ensure all AP transactions are recorded within the required reporting timeline.
- Support monthly, quarterly and year-end financial closing activities.
5. Supplier Rebates Administration
- Calculate and record supplier rebates and incentives based on contractual agreements.
- Reconcile supplier rebate balances against supplier statements and internal records.
- Coordinate with Procurement and Commercial teams to validate rebate entitlements.
- Prepare rebate claims and follow up with suppliers to ensure timely collection.
- Maintain accurate rebate schedules and supporting documentation.
- Assist during internal and external audits relating to rebate arrangements.
6. Customer Rebates & Commission
- Verify sales commissions, supplier rebates and incentive payments.
- Reconcile calculations against supporting sales records.
- Ensure accurate and timely accounting of commissions and rebates.
- Investigate and resolve discrepancies with relevant stakeholders.
7. Reporting & Finance Support
- Prepare AP ageing reports and payment status reports.
- Monitor overdue invoices and vendor balances.
- Assist the Finance Manager with AP analysis and reporting.
- Support finance-related activities across Malaysia and Singapore as required.
- Identify opportunities to improve finance processes, controls and efficiency.
- Perform other finance-related duties as assigned.
Requirements
Education & Professional Qualifications
- Diploma or Bachelor's Degree in Accounting, Finance or a related field.
Experience
- Minimum 3–5 years of Accounts Payable or Finance experience.
- Experience in a multinational company or shared services environment is an advantage.
- Experience supporting multiple entities or cross-border operations will be an added advantage.
Skills & Competencies
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to work effectively with stakeholders across Malaysia and Singapore.
- Good knowledge of accounting principles, financial reporting and statutory compliance.
- Familiarity with ERP/accounting systems such as SAP, Oracle, Microsoft Dynamics, Xero, MYOB or QuickBooks is an advantage.
- Proficient in Microsoft Excel.
- Able to work independently and manage multiple priorities.
- Strong sense of ownership, accountability and willingness to take on broader responsibilities.
