Job summary

HABIB Group in Malaysia is seeking an Industrial Relations professional to manage disciplinary actions, grievances and employee relations. You will coordinate domestic inquiries, investigations, and documentation, while driving IR initiatives, policy reviews and reporting.

The role requires 1–2 years of experience, familiarity with Malaysia Labour Law, and strong communication, analytical and presentation skills to support a constructive employer-employee relationship.

Qualifications

  • Minimum diploma/degree in any discipline, preferably in Human Resources.
  • 1–2 years of working experience.
  • Familiar with Malaysia Labor Law and practices (IR Act 1967, Employment Act 1955).
  • Excellent communication and presentation skills.

Responsibilities

  • Assist in all Industrial Relations activities including disciplinary actions, grievances, counseling, and misconduct.
  • Administer domestic inquiry sessions: scheduling, witnesses, exhibits, minutes/verbatim; prosecute if needed.
  • Investigate employee complaints promptly and propose timely actions for resolution.
  • Prepare disciplinary letters (counselling, caution, show cause, warnings) promptly.
  • Drive IR initiatives: awareness emails, infographics, slide decks, briefings.
  • Review and amend internal policies; recommend improvements.
  • Coordinate with internal audit, security and compliance for case management.
  • Collaborate with HRBPs and HODs on disciplinary actions and documentation.
  • Produce weekly/monthly IR reports and dashboards as per timelines.

Job description

Industrial Relations

1. Responsible for assisting in all Industrial Relations activities at company, including disciplinary actions, grievances, counseling, misconduct etc. on daily and weekly basis.

2. Participate and administer/assist domestic inquiry session including, scheduling, identifying company's witnesses, interviewing witnesses, collect information and data, identify Board of inquiry, prepare exhibits files and recording and writing minutes/verbatim. To conduct DI as a prosecutor if necessary.

3. Assist in conducting prompt and thorough investigations in response to employee complaints. Then, identify and recommend implementation of appropriate actions to the immediate superior to accomplish a timely resolution of employee concerns to maintain a good rapport between employees and employer.

4. Prepare all type of disciplinary letters (Letter of counselling, Letter of Caution, Show Cause Letter, Warning Letters, Notice of Inquiry) on timely manner.

5. Pro-active Industrial Relations Initiatives such as preparing email awareness, infographics communication, slide presentation, briefing arrangement on industrial relations matters, etc.

6. Review and amend existing internal control policies and procedures and make recommendation for improvement.

7. Coordinate and collaborate with internal audit, security and Compliance for case management.

8. Partner with the HRBPs and HODs with respect to disciplinary action required, including preparation of documents, investigation of any misconduct, issuance of reprimand letters based on industry’s best practices and employment law governance.

9. Ensure weekly and monthly IR reports/dashboards, all types of other administrations are ready as per the timeline.

Employee relations

1. Counselling/awareness sessions for employees in need.

2. Communicate GHR related policies effectively to operational employees as and when required.

3. Involve in employee engagement activities i.e knowledge sharing via social media, IR/ER based Q&A via social media, administration of group Facebook page, telegram, Instagram, other mediums.

4. To facilitate/conduct training related to IR/ER for operational employees

5. To participate and conduct training on workplace policies for newly onboard employees. (NEO)

6. To create/initiate disciplinary prevention programs to ensure workplace harmony.

7. To assist the immediate superior in IR/ER related activities, projects and other duties assigned.

IR Projects
  1. To assist the immediate superior in process improvement initiatives for IR/ER section.
  2. To involve in Strategic IR initiatives or projects. (Long term and Short term projects)
Requirement

1. Minimum diploma/ degree in any discipline or its equivalent preferably in Human Resources.

2. With 1-2 years of working experience.

3. Familiar with Malaysia Labor Law and practices. (IR Act 1967, Employment Act 1955)

4. Excellent communication skills.

5. Excellent analytical and problem-solving skills.

6. Excellent presentation skills including preparation of materials/content.

7. Results driven and able to work independently and meet present deadlines.
