TRADE VENTURES in Kuala Lumpur seeks an experienced executive assistant to the Chairman & Group CEO, providing high-level support, prioritization, and strategic coordination across the Group.

The role manages calendars, meetings, travel across time zones, prepares reports and presentations, coordinates cross-functional projects, conducts market intelligence, and liaises with board members and partners, requiring discretion and travel readiness.

Qualifications

  • Bachelor's degree in Business Administration, Management, International Business, Communications or a related discipline.
  • Minimum 8 years of experience supporting C-suite executives, Chairpersons, Chief Executive Officers, Managing Directors, or senior leadership teams within a multinational or international business environment.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
  • Fluent in Spanish and English, both written and spoken (mandatory).
  • Willingness and ability to travel internationally as required.
  • Willing to relocate to Kuala Lumpur, Malaysia

Responsibilities

  • Serve as the primary executive support to the Chairman & Group CEO, ensuring effective management of priorities, commitments and strategic objectives.
  • Manage and coordinate the Chairman & Group CEO's calendar, meetings, travel arrangements and stakeholder engagements across multiple countries and time zones.
  • Drive the execution and follow-through of strategic initiatives, ensuring timely coordination, tracking and completion of key action items across the Group.
  • Prepare and review executive reports, presentations, briefing papers, dashboards, speeches and correspondence to support informed decision-making.
  • Attend meetings, business engagements and international visits as required, documenting key discussions, decisions and follow-up actions.
  • Act as a key liaison between the Chairman & Group CEO and internal and external stakeholders, ensuring effective communication, alignment and timely resolution of matters.
  • Coordinate and monitor cross-functional projects, corporate priorities and special assignments on behalf of the Chairman & Group CEO.
  • Conduct business research, market intelligence and stakeholder analysis to support strategic planning, business development, and executive decision-making.
  • Support high-level stakeholder engagement activities, including interactions with Board members, senior executives, business partners, government representatives and other key stakeholders.
  • Handle highly confidential information, sensitive business matters and executive communications with the utmost professionalism, integrity and discretion.
  • Identify potential risks, operational challenges, and emerging issues, and proactively recommend solutions to support business continuity and organisational effectiveness.
  • Perform any other duties and responsibilities as assigned by the Chairman & Group CEO from time to time.
