We are seeking a highly organized, professional, and proactive Executive Assistant to provide direct support to the CEO in managing strategic business initiatives, infrastructure projects, stakeholder engagement, and corporate administration.
The successful candidate will work closely with the CEO on matters involving government agencies, consultants, investors, utility providers, and business partners. This position offers significant exposure to senior management, high-level decision-making, and major infrastructure projects.
Key Responsibilities
Executive Support
- Manage the CEO's calendar, appointments, meetings, and travel arrangements.
- Prepare meeting agendas, minutes, presentations, and follow-up reports.
- Monitor deadlines and ensure timely completion of action items.
- Screen and prioritize emails, correspondence, and communications.
Documentation & Administration
- Prepare, format, and manage official documents, proposals, reports, agreements, NDAs, and MoUs.
- Maintain proper filing and document control systems.
- Draft correspondence in English and Bahasa Malaysia.
- Manage confidential records and sensitive information.
Project & Stakeholder Coordination
- Coordinate meetings and communications with government agencies, consultants, investors, contractors, and utility providers.
- Track project submissions, approvals, and stakeholder feedback.
- Follow up on action items arising from meetings and project discussions.
- Support the CEO in project planning and business development activities.
Office Management
- Assist in office administration and operational matters.
- Coordinate company events, workshops, and executive meetings.
- Perform special assignments and projects as directed by the CEO.
Requirements
- Diploma or Degree in Business Administration, Management, Communications, Law, Engineering, or related disciplines.
- Minimum 3 years of experience as an Executive Assistant, Personal Assistant, Project Coordinator, or similar role.
- Excellent command of English and Bahasa Malaysia, both written and spoken.
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong organizational, communication, and multitasking skills.
- Ability to handle confidential information with professionalism and discretion.
- Experience dealing with government agencies, engineering, infrastructure, utilities, or construction projects will be an added advantage.
Salary: RM4,000 – RM6,000 (Based on Experience & Capability)
