Job Summary
We are looking for a proactive, client-focused Event Sales & Coordinator to manage our client relationships and event executions end-to-end. In this role, you will be the main point of contact, turning incoming client inquiries into successful events across our venue brands.
Key Responsibilities
- Handle incoming event inquiries, understand client specifications, budgets, and expectations, and present tailored packages, menus, and proposals.
- Follow up actively with leads to close bookings, hit target sales goals, and maintain client records.
- Build strong long-term relationships with corporate clients, event planners, and high-profile individuals.
2. Event Coordination & On-Site Execution
- Manage confirmed events end-to-end—coordinating menu tastings, site visits, timelines, and operational requirements.
- Draft accurate Event Orders (EOs) and brief internal teams (culinary, floor operations, logistics) and external vendors to ensure seamless execution.
- Attend on-site events to oversee setup, manage operational changes on the spot, and ensure client satisfaction.
3. Menu Advisory & F&B Operations Support
- Develop a deep understanding of our brand offerings, menus, and catering concepts.
- Consult with clients on dietary needs, menu modifications, and presentation styles in collaboration with the culinary team.
4. Event Administration & Payments
- Manage client bookings, send invoices, and track deposits, final payments, and budget breakdowns.
- Ensure all event-related collateral (custom menus, signage, print materials) is prepared on time.
Requirements
- Language Skill: Strong written and spoken English is also required.
- Education & Experience: SPM / STPM / Diploma / Bachelor’s Degree in Hospitality, Events, Sales, Marketing, F&B, or a related field. Prior experience in client-facing event coordination, sales, or hospitality is an advantage.
- Sales-Minded & Organised: Comfortable presenting proposals, closing sales deals, handling budgets, and managing multiple events simultaneously.
- Adaptability & Ownership: Strong problem-solving mindset, high attention to detail, and flexibility to work evenings, weekends, or public holidays when events take place.
- Tech Literacy: Proficient in Microsoft Office / Google Workspace and basic numerical calculations.
