Job summary

Jora Malaysia is seeking an entry-level Logistics Documentation Clerk in Kuala Lumpur. You will assist with shipping paperwork, data entry, and coordinating with freight forwarders to ensure accurate records and timely updates.

Ideal candidates have a high school diploma, strong attention to detail, and good English/Bahasa Malaysia communication. Mandarin is a plus. Proficiency with Word, Excel, and Outlook is expected in a fast-paced environment.

Qualifications

• High school diploma or equivalent required; a diploma in Logistics, Supply Chain Management, Business Administration, or a related field is preferred.
• Entry-level position, suitable for recent graduates with a strong interest in the logistics and transportation industry.
• Proficiency in data entry and record-keeping, with a keen eye for accuracy and attention to detail.
• Familiarity with logistics and shipping documentation processes is a plus.
• Basic understanding of import/export procedures and customs regulations is advantageous.
• Excellent written and verbal communication skills in English and Bahasa Malaysia; proficiency in Mandarin is a significant asset.
• Ability to organize and manage multiple tasks efficiently in a fast-paced environment.
• Proficient in using standard office software, including Microsoft Word, Excel, and Outlook.

Responsibilities

• Assist in the preparation, review, and organization of all shipping and logistics documentation, including bills of lading, packing lists, commercial invoices, and certificates of origin, ensuring accuracy and completeness.
• Accurately enter and maintain data related to shipments, inventory, and customs declarations into the company's logistics management system, adhering to strict record-keeping standards.
• Support the logistics team by liaising with internal departments and external partners to gather necessary information and resolve documentation discrepancies.
• Ensure compliance with relevant import and export regulations by verifying that all documentation meets the requirements of customs authorities and international trade laws.
• File and archive all logistics-related documents systematically, maintaining an organized and easily retrievable filing system for audit and reference purposes.
• Communicate effectively with team members and stakeholders in English, Bahasa Malaysia, and Mandarin to clarify documentation requirements and provide updates on shipment status.
• Perform quality checks on all documentation to ensure a high level of accuracy and attention to detail, minimizing errors that could lead to delays or additional costs.
