Job summary

Jora Malaysia is seeking an entry-level Logistics Documentation Assistant in Kuala Lumpur to support shipping and documentation workflows. You will enter data, review documents, and liaise with internal teams and external partners to ensure accuracy and timely processing.

The role requires a high school diploma or related diploma, interest in logistics, and proficiency with Word, Excel, and Outlook. English and Bahasa Malaysia communications are essential, with Mandarin as a plus.

Qualifications

• High school diploma or equivalent required; a diploma in Logistics, Supply Chain Management, Business Administration, or a related field is preferred.
• Entry-level position suitable for recent graduates with a strong interest in the logistics and transportation industry.
• Proficiency in data entry and record-keeping, with a keen eye for accuracy and attention to detail.
• Familiarity with logistics and shipping documentation processes is a plus.
• Basic understanding of import/export procedures and customs regulations is advantageous.
• Excellent written and verbal communication skills in English and Bahasa Malaysia; proficiency in Mandarin is a significant asset.
• Ability to organize and manage multiple tasks efficiently in a fast-paced environment.
• Proficient in using standard office software, including Microsoft Word, Excel, and Outlook.

Responsibilities

• Assist in the preparation, review, and organization of all shipping and logistics documentation, including bills of lading, packing lists, commercial invoices, and certificates of origin, ensuring accuracy and completeness.
• Accurately enter and maintain data related to shipments, inventory, and customs declarations into the company's logistics management system, adhering to strict record-keeping standards.
• Support the logistics team by liaising with internal departments and external partners (e.g., freight forwarders, customs brokers) to gather necessary information and resolve documentation discrepancies.
• Ensure compliance with relevant import and export regulations by verifying that all documentation meets the requirements of customs authorities and international trade laws.
• File and archive all logistics-related documents systematically, maintaining an organized and easily retrievable filing system for audit and reference purposes.
• Communicate effectively with team members and stakeholders in English, Bahasa Malaysia, and Mandarin to clarify documentation requirements and provide updates on shipment status.
• Perform quality checks on all documentation to ensure a high level of accuracy and attention to detail, minimizing errors that could lead to delays or additional costs.
