See Hup Consolidated Berhad in Penang invites applications for a Documentation Officer / Executive (Sea Freight – Import / Export). You will coordinate daily sea freight operations, prepare custom forms, MITI documents, and manage export shipping documents.

The role requires meticulous attention to detail, strong English communication, Mandarin and Bahasa Malaysia proficiency, and ability to work with vendors and customers to ensure on-time deliveries.

Qualifications

• Knowledge of sea freight Import/Export procedures and documentation.
• Strong command of MS Office and computer literacy.
• Proficient written and spoken English; Mandarin and Bahasa Malaysia required.

Responsibilities

• Coordinate daily sea freight operations for import/export shipments.
• Prepare full set of export shipping documents (Seaway bill, etc.).
• Prepare MITI documents through the system.
• Liaise with vendors for pickup/delivery and with customers via email.

Role Overview

The Documentation Officer / Executive (Sea Freight – Import / Export) will coordinate daily operation activities for sea freight – import / export shipment under sea freight industry and ensure smooth logistics operations. This role involves handling & preparing custom forms, MITI documents, handling full set of export shipping documents, monitoring shipment with vendor and customer service.

Key Responsibilities:

Knowledge in sea freight industry Import/Export.

Responsible for daily operation activities for import / export shipment under sea freight industry

Fully handle & custom form (K1, K2, K3, K8 and K9) preparation from beginning until the end

Responsible for preparing MITI documents through system

To handle full set of export shipping documents (Seaway bill)

To liaise and monitor with vendors for shipment pickup and delivery

To liaise and email communication with customers.

To lead, supervise and arrange truck, based on customer shipment order

Attend to operation issues, customers complaints and drivers’ issues should any arises

To handle entire administration of the operation activities

Perform other ad-hoc tasks pertaining to operational duties as and when required

What You'll Need

Must Have:

At least 4 years of working experience in logistics, freight forwarding, or related field

Diploma / Advanced / Higher / Graduate Diploma in Logistic or equivalent

Proficiency in MS Office and Computer literature

Strong English communication skills, both written and spoken, complemented by proficiency in Mandarin and Bahasa Malaysia. "We are looking for Mandarin-speaking candidates who will be serving Mandarin-speaking customers."

Able to work as a team & independently with minimum supervision and with good communication skills

Possess supervisory skills and team player with a high level of integrity and commitment

Possess positive working attitude and able to perform multi-tasking

Willing to learn and committed to work assigned & self-discipline

Applicants must be willing to work in Penang Island and preferably able to start work immediately

Possess own transport

Good to Have:

Basic knowledge of import/export procedures and shipping documentation

Experience with sea freight export / import operations

Understanding of customs regulations and compliance requirements

Familiarity with logistics software or systems

Timely and accurate customer service support and shipment updates

Complete and error-free shipping documentation

Achievement of KPI standards and performance targets

Prompt resolution of customer complaints and issues

Strong relationships with clients, service providers, and vendors

Regular reports and analysis on shipping rates and costs
