Job summary

Gigaspeed Technology Sdn Bhd in Kuching is seeking a Document / Drawing Controller to manage project documents and drawing revisions. You will log, track, and archive correspondence, submittals, and RFIs, ensuring accurate naming, attachments, and audit-ready records.

The role requires a Diploma or Degree in a related field, plus prior document control experience in construction or engineering. Proficiency in MS Office, PDF editors, and CAD viewers is essential for day-to-day accuracy.

Document / Drawing Controller

Key Responsibilities

Document Management & Logging: Receive, register, track, and archive all incoming and outgoing project correspondence, submittals, deliverables, transmittals, and contract documents.

Drawing Control & Revision Management: Maintain drawing registers, track revision statuses (architectural, C&S, and M&E systems), and ensure obsolete drawing versions are marked superseded to prevent site errors.

Submittals & Transmittals: Process, log, and distribute shop drawings, material samples, Request for Information (RFI) forms, and method statements to relevant engineers, consultants, or main contractors.

Filing & Retrieval Systems: Maintain clean, structured digital and physical filing folders to ensure quick file retrieval for audit compliance, progress reporting, and site reference.

Quality & Completeness Checks: Review outgoing document packages to ensure correct naming conventions, proper cover sheets, accurate reference numbers, and required attachments before submission.

As-Built & Handover Tracking List: Assist project engineers in compiling, organizing, and binding final Operation & Maintenance (O&M) manuals, as-built drawings, and warranty documents for project handover.

Key Requirements

SPM, Diploma, or Degree in Business Administration, Information Management, Secretarial Studies, or related field.

Prior work experience as a Document Controller or Site Administrator within construction, engineering, or project environments.

Computer Literacy: Strong proficiency in Microsoft Office (Excel, Word), PDF editing tools (Adobe Acrobat), and CAD viewers for checking drawing borders and titles.

Excellent organizational discipline, strong attention to detail, and systematic record-keeping skills.

Good communication and interpersonal skills to follow up on document approvals with internal engineers, consultants, and contractors.
