Jora Malaysia is seeking a dedicated document control professional to manage project documents using Oracle Aconex and to maintain accurate records and workflows. The role involves coordinating submissions, approvals and distribution among clients, contractors and internal teams.
You will develop workflows for handover of documents, support site direction handling and ensure timely reporting through weekly Aconex registers and project documentation reports.

Manage and maintain project documents using Oracle Aconex, ensuring proper document control, filing, distribution and archiving.
Create and manage Aconex workflows and workflow templates for project documentation.
Maintain document registers and ensure document status, revisions and records are updated accurately and promptly.
Coordinate document submissions, reviews, approvals and distribution between Client, contractors, consultants and internal project teams.
Coordinate final project documentation from contractors to the Client, including Early Access and CSA contractor documentation.
Develop and coordinate workflows for Final Handover of Documents to the Client.
Manage and coordinate Site Directions, NCRs, RFIs, Issues and Field records within Aconex.
Coordinate the issuance and distribution of construction drawings to relevant contractors and project stakeholders.
Act as the key contact for Aconex-related enquiries and provide user support to the project team.
Train and guide new joiners on Aconex usage and document control procedures.
Assist with document uploading, filing, scanning, printing and other day-to-day document control activities.
Monitor Aconex workflows and update document registers concurrently to ensure records remain current.
Prepare and maintain weekly Aconex registers and project documentation reports.
Assist with PR issuance and PO follow-up with relevant project personnel.
Support general project administration activities, including coordination of newsletters, video-shooting arrangements, townhalls and other project events.
Perform other Document Control and Project Administration duties as assigned.

Diploma in Business Administration, Engineering, Construction Management, Document Control or a related discipline.
Minimum 2 years of relevant experience in Document Control, Project Administration or a similar role.
Hands-on experience with Oracle Aconex is highly preferred.
Experience in construction, engineering, EPC, semiconductor, data centre or other project-based environments is an advantage.
Familiar with document registers, workflows, document submission, revision control and document archiving.
Good knowledge of Microsoft Office, particularly Excel and Word.
Strong organisational, coordination and communication skills.
Detail-oriented with good document management and follow-up skills.
Able to work independently and coordinate effectively with contractors, consultants, clients and internal stakeholders.
Willing to perform hands-on administrative and document control tasks when required.
