Job summary

Bigera Alliance Sdn Bhd is seeking a Customer Services Representative based in Seremban, Negeri Sembilan, to join our team on a full-time basis. You will be the frontline contact for customers, handling inquiries, quotations, orders, and after-sales support to ensure satisfaction.

The role requires strong communication in English and Bahasa Malaysia, a good understanding of printing and signage products, and the ability to coordinate with designers, production, and installers to meet deadlines.

Qualifications

• Minimum SPM / Diploma or equivalent.

Responsibilities

• Handle customer enquiries through WhatsApp, phone calls, email, and walk-in customers.
• Understand customer requirements and provide suitable printing, signage, sticker, banner, and promotional product solutions.
• Prepare and provide quotations based on customer requirements, sizes, quantities, materials, finishing, delivery, and installation charges.
• Follow up with customers on quotations and convert enquiries into confirmed orders.
• Coordinate with the graphic designer regarding artwork requirements, amendments, approvals, and final artwork.
• Check customer artwork details such as size, quantity, spelling, specifications, and finishing before proceeding with production.
• Prepare and process customer orders, job sheets, and production instructions accurately.
• Coordinate with the production team to ensure orders are produced according to customer requirements and agreed deadlines.
• Follow up on production progress and update customers regarding order status and estimated completion time.
• Arrange and coordinate delivery and installation schedules with the installer/production team.
• Communicate with customers regarding installation requirements, site conditions, access, and scheduling.
• Follow up on outstanding payments, deposits, and balances before production, delivery, or installation when required.
• Handle customer complaints, feedback, reprint requests, quality issues, and other after-sales matters professionally.
• Liaise with suppliers when required to check material availability, pricing, production lead time, and special requirements.
• Maintain proper records of quotations, orders, artwork approvals, invoices, payments, and customer communications.
• Assist in preparing invoices, delivery orders, and other documents when required.
• Ensure all customer information and order details are properly recorded and communicated to the relevant departments.
• Perform other duties related to customer service and daily company operations as assigned by management.
