Job summary

Mayflower Car Rental Sdn Bhd is seeking a Customer Service Officer (Fleet Operations) to conduct vehicle inspections, support deliveries, shuttling, and exchanges while ensuring proper documentation, SOP compliance, and safe vehicle handling.

Responsibilities include maintaining records for assignments, inspections, and bookings; coordinating with customers and internal teams; and supporting daily vehicle operations to ensure service quality and efficiency.

Qualifications

• Minimum SPM/SKM/Diploma or equivalent qualification with relevant experience in vehicle operations or fleet management preferred.
• Possess a valid driving licence and good knowledge of vehicle handling and road safety requirements.
• Physically fit and able to perform vehicle inspection, movement, delivery, collection, and other operational tasks.
• Responsible, detail-oriented, and able to follow SOPs while managing multiple tasks in a fast-paced environment.

Responsibilities

• Conduct vehicle inspections, delivery, collection, shuttling, and exchange activities while ensuring proper documentation, SOP compliance, repair coordination, and operational support to maintain service quality and efficiency.
• Support vehicle delivery, collection, exchange, shuttling, and PUSPAKOM inspection activities and ensure vehicles are returned in good condition.
• Maintain accurate records for vehicle assignments, inspections, deliveries, and exchanges and update documents such as Rental Agreement, RC, PUSPAKOM bookings, petrol cards, T&G records, and claims.
• Communicate professionally with customers, vendors, and internal teams and provide timely updates coordinating vehicle-related activities.
• Perform assigned tasks accurately and efficiently to support team in achieving operational targets and improving service quality.

Customer Service Officer (Fleet Operations)

Conduct vehicle inspections, delivery, collection, shuttling, and exchange activities while ensuring proper documentation, SOP compliance, repair coordination, and operational support to maintain service quality and efficiency.

Job Scope:

1. SOP Compliance & Safety

Ensure daily operations follow company SOPs, policies, and safety requirements.

Complete required operational checklists and documents (e.g. VCL Checklist, PDI Checklist, CMR, Indemnity Form, Work Order).

Comply with company ABAC policy and regulatory requirements.

Ensure safe handling of vehicles and follow road safety guidelines at all times.

2. Vehicle Operations Support

Support vehicle delivery, collection, exchange, shuttling, and PUSPAKOM inspection activities.

Ensure vehicles are handled properly and returned in good condition.

Assist with daily vehicle operations according to assigned schedules and requirements.

Able to support emergency situations, vehicle breakdowns, and provide timely assistance when required.

3. Documentation & Record Keeping

Maintain accurate records for vehicle assignments, inspections, deliveries, and exchanges.

Update and maintain documents such as Rental Agreement, RC, PUSPAKOM bookings, petrol cards, T&G records, and claims.

Ensure all records are properly filed and available for audit purposes.

4. Customer & Internal Communication

Communicate professionally with customers, vendors, and internal teams.

Provide timely updates and coordinate vehicle-related activities.

Support smooth service delivery and customer satisfaction.

5. Operational Support & Service Quality

Perform assigned tasks accurately and efficiently.

Support the team in achieving operational targets and improving service quality.

Maintain a positive attitude and professional conduct at all times.

Job Requirements:

Minimum SPM/SKM/Diploma or equivalent qualification with relevant experience in vehicle operations, fleet management, or car rental industry preferred.
