Carsome Sdn Bhd in Penang seeks an Executive – Vendor Management to support 3PL transport partners and coordinate PUSPAKOM vehicle inspections. You will ensure timely vehicle movements, meticulous documentation, and vendor performance tracking.
You'll liaise with branches, fleets, and planners to optimize schedules, manage onboarding documentation, and escalate issues. This role requires strong communication, attention to detail, and travel readiness as needed.
Job Overview:
The Executive – Vendor Management is responsible for supporting the daily operations of third‑party logistics (3PL) transport partners and coordinating internal activities related to PUSPAKOM vehicle inspections. This role focuses on ensuring smooth execution of vehicle movements, maintaining documentation accuracy, tracking vendor performance, and coordinating inspection appointments in compliance with local regulatory standards.
Key Responsibilities:
Transport Planning & Execution
Coordinate and schedule vehicle pickups and deliveries across intra (24-hour) and inter‑region (48-hour) movements.
Monitor movement tasks to 3PL vendors based on location, availability, and vehicle type.
Track all vehicle movements via apps, Google Sheets, or CMS to ensure on‑time handover and arrivals.
Communicate clearly with vendors regarding movement instructions, vehicle status, and any special handling requests.
Liaise with branches, yards, fleet, or route planners to confirm unit readiness before assigning movement.
Prioritize urgent movements (e.g. showroom launch, customer, dealers,) with proper documentation and escalation.
Assist in the onboarding process by collecting vendor documentation such as:
Business registration
Insurance
Ensure all vendor information is accurately filed and updated in internal systems (ERP, Google Drive, CMS, TMS).
Follow up with vendors for DO (Delivery Order) and signed documents.
Track contract expiry dates and notify supervisors for renewals or rate change discussions.
Report vendor‑related issues (late arrival, damage, no show) to the Assistant Manager for escalation.
Monitoring & Performance Reporting
Assist in tracking daily and monthly vendor KPIs:
Number of late pickups/deliveries
Damage or incident records
Compile summary reports to support monthly vendor performance reviews.
Monitor average cost per unit for each movement type and support analysis of cost trends.
Update transport dashboards and movement trackers regularly.
B. PUSPAKOM Coordination (Internal Vehicle Compliance)
Scheduling & Appointment Booking
Coordinate PUSPAKOM inspection appointments for company fleet or external vehicles (new stock, resale units, consignment, recond, invidual).
Arrange for:
LMU (Mobile Truck Unit)
Static site inspections (if mobile unavailable)
Liaise with branch personnel, drivers, or vendors to ensure vehicles are ready at the scheduled time and location & inspection slots and update the team accordingly.
Documentation & Inspection Follow‑Up
Maintain a centralized Google Sheet or CMS log of:
Expiry date for the next inspection
Remarks from PUSPAKOM side
Collect and file PUSPAKOM inspection slips, e‑wallet receipts, and invoices (both digital and physical copies).
Escalate any unusual charges, booking issues, or failed inspections to the Assistant Manager.
Internal Reporting
Generate daily and monthly inspection reports summarizing:
Total units inspected
Units failed vs passed
Amendment
Share regular reminders to branches about upcoming inspections and slot availability.
Stay updated with latest changes to JPJ or PUSPAKOM guidelines.
Coordinate mobile team visits during peak seasons or campaigns to reduce backlog.
Act as the first point for internal fleet/ops/EC’s team and external customer (weekdays & weekend).

Education
Diploma or Bachelor’s Degree in Logistics, Supply Chain, or related discipline
Experience
Minimum 2–4 years in logistics, transport coordination, or vendor support roles
Knowledge
Proficient in Google Sheets, Microsoft Excel, CMS, ERP, or transport management systems & Basic understanding of 3PL operations, vehicle transport, PUSPAKOM inspections
Language
Proficient in Bahasa Malaysia and English
Other Skills
Valid driver’s license is a plus; willing to travel for site visits or inspections
Excellent communication and vendor handling/negotiation abilities
High attention to detail in inspection tracking and documentation
Familiarity with vehicle movement workflows (pickup, delivery, inspection)
Ability to work independently and under minimal supervision
Problem‑solving mindset with willingness to escalate when needed
