Job Overview:
The Executive – Vendor Management is responsible forsupporting the daily operations of third-party logistics (3PL) transportpartners and coordinating internal activities related to PUSPAKOM vehicleinspections. This role focuses on ensuring smooth execution of vehiclemovements, maintaining documentation accuracy, tracking vendor performance, and coordinating inspection appointments in compliance with local regulatorystandards.
Key Responsibilities:
Transport Planning & Execution
- Coordinateand schedule vehicle pickups and deliveries across intra (24-hour) andinter-region (48-hour) movements.
- Monitormovement tasks to 3PL vendors based on location, availability, and vehicletype.
- Trackall vehicle movements via apps, Google Sheets, or CMS to ensure on-timehandover and arrivals.
- Communicateclearly with vendors regarding movement instructions, vehicle status, andany special handling requests.
- Liaisewith branches, yards, fleet, or route planners to confirm unit readinessbefore assigning movement.
- Prioritizeurgent movements (e.g. showroom launch, customer, dealers,) with properdocumentation and escalation.
- Assistin the onboarding process by collecting vendor documentation such as:
- Insurance
- Ensureall vendor information is accurately filed and updated in internal systems(ERP, Google Drive, CMS, TMS).
- Followup with vendors for DO (Delivery Order) and signed documents.
- Trackcontract expiry dates and notify supervisors for renewals or rate changediscussions.
- Reportvendor-related issues (late arrival, damage, no show) to the AssistantManager for escalation.
Monitoring & Performance Reporting
- Assistin tracking daily and monthly vendor KPIs:
- On-timedelivery percentage
- Numberof late pickups/deliveries
- Unitsdelivered per vendor
- Compilesummary reports to support monthly vendor performance reviews.
- Monitoraverage cost per unit for each movement type and support analysis of costtrends.
- Updatetransport dashboards and movement trackers regularly.
B. PUSPAKOM Coordination (Internal VehicleCompliance)
Scheduling & Appointment Booking
- CoordinatePUSPAKOM inspection appointments for company fleet or external vehicles(new stock, resale units, consignment, recond, invidual).
- LMU(Mobile Truck Unit)
- Liaise with branch personnel, drivers, orvendors to ensure vehicles are ready at the scheduled time and location &inspection slots and update the team accordingly.
Documentation & Inspection Follow-Up
- Maintaina centralized Google Sheet or CMS log of:
- Inspectiondates
- Vehicleplate number & chassis
- Expirydate for the next inspection
- Remarksfrom PUSPAKOM side
- Collectand file PUSPAKOM inspection slips, e-wallet receipts, and invoices (bothdigital and physical copies).
- Escalateany unusual charges, booking issues, or failed inspections to theAssistant Manager.
Internal Reporting
- Generatedaily and monthly inspection reports summarizing:
- Totalunits inspected
- Unitsfailed vs passed
- Amendment
- Shareregular reminders to branches about upcoming inspections and slotavailability.
- Buildrapport with PUSPAKOM representatives to manage slot availability, bulkinspections,
or urgent requests.
- Stayupdated with latest changes to JPJ or PUSPAKOM guidelines.
- Coordinatemobile team visits during peak seasons or campaigns to reduce backlog.
- Actas the first point for internal fleet/ops/EC’s team and external customer(weekdays & weekend).

Education
Diploma or Bachelor’s Degree in Logistics, Supply Chain,or related discipline
Experience
Minimum 2–4 years in logistics, transport coordination,or vendor support roles
Knowledge
Proficient in Google Sheets, Microsoft Excel, CMS, ERP,or transport management systems & Basic understanding of 3PL operations,vehicle transport, PUSPAKOM inspections
Language
Proficient in Bahasa Malaysia and English
Other Skills
Valid driver’s license is a plus; willing to travel forsite visits or inspections
- Excellentcommunication and vendor handling/negotiation abilities
- Highattention to detail in inspection tracking and documentation
- Familiaritywith vehicle movement workflows (pickup, delivery, inspection)
- Abilityto work independently and under minimal supervision
