Job summary

Sin Lian Wah Lighting Sdn Bhd is seeking a diligent Customer Service / Sales Admin Assistant in Kepong, Kuala Lumpur. You will handle enquiries, prepare quotations, and coordinate with sales, warehouse and delivery teams to ensure smooth order fulfillment. The role involves data entry, filing, and timely customer updates.

Fresh graduates are welcome. The position may require overtime, especially during month-end closing, with paid overtime provided.

Qualifications

• Previous experience in customer service, sales administration, order processing or a related position is preferred.
• Comfortable using computers and performing daily system data entry.
• Detail-oriented, responsible and able to maintain accurate records.
• Able to prioritise tasks and handle multiple customer orders efficiently.

Responsibilities

• Attend to customer enquiries and provide accurate information on products, pricing, stock availability and order status.
• Prepare quotations, sales orders, invoices, delivery orders and other sales-related documents.
• Process customer orders and coordinate with the sales, warehouse and delivery teams to ensure smooth fulfilment.
• Follow up on back orders, delivery schedules and outstanding information, and provide timely updates to customers.
• Perform daily system data entry and maintain accurate customer, order and transaction records.
• Assist the supervisor with supplier incentive claims, including preparing supporting documents and following up on claim status.
• Compile data and prepare operational, sales and customer service reports when required.
• Handle customer complaints and requests professionally, escalating more complex matters when necessary.
• Maintain proper filing of customer orders, documents and correspondence.

Job description

Follow up on back orders, delivery schedules and outstanding information, and provide timely updates to customers.

Perform daily system data entry and maintain accurate customer, order and transaction records.

Compile data and prepare operational, sales and customer service reports when required.

Requirements

Required language(s): Manda rin, English, and Bahasa Malaysia.

Able to work overtime when required, particularly during month-end closing periods. Paid overtime will be provided.

Previous experience in customer service, sales administration, order processing or a related position is preferred.

Comfortable using computers and performing daily system data entry.

Preferred Skills

Experience preparing quotations, sales orders, invoices and delivery orders.

Familiarity with AutoCount is preferred.

Good working knowledge of Microsoft Excel and Microsoft Office.

Experience in the lighting, electrical, wholesale or distribution industry.

Strong coordination, problem-solving and customer service skills.
