Job summary

Jora Malaysia is hiring to coordinate daily order entry and customer communications while monitoring inventory and delivery timelines. This role requires attention to order accuracy, timely resolutions with Sales, and proactive coordination with logistics and warehouse teams.

You will manage ERP-based order processing, tracking shipments, and handling documentation, including invoicing and RMA processes, to ensure on-time customer commitments and SME-level service quality.

Qualifications

• Minimum Diploma in Business Administration, Supply Chain Management or any related field.
• Able to work independently.
• Knowledge of inventory availability, production output schedule and coordination with logistic for trucks availability.
• Understanding of customer systems (e.g. E-invoicing platforms like B2B/AAB).
• Capability to manage documentation (PO, invoice, RMA, shipment records).
• Strong sense of urgency and accountability in meeting timelines.
• As coordinator between external (customers) and internal to make sure customer order commit.
• Willing to perform additional tasks as assigned by superior.

Responsibilities

• Handle assigned customers and process daily order entry in ERP
• Review customer orders for accuracy of item, quantity, and pricing
• Resolve discrepancies with Sales or escape to superior when required
• Review inventory and forecast to support order commitments
• Communicate with customers on stock availability and delivery timelines
• Reschedule deliveries based on inventory, production, and transport availability
• Coordinate truck/container scheduling and loading arrangements
• Liaise with warehouse and customers on container loading plans
• Inform customers on shipment updates, delays, and vessel status
• Follow up on customer payments and verify with Accounts
• Generate tax invoices for shipments
• Maintain PO filing, documentation, and records
• Update E-invoice systems for specific customers (e.g. B2B, AAB)
• Manage RMA process for returns, damages, or shortages
• Liaise with logistics for product disputes (GRN/POD issues) and ensure closure
• Perform weekly tracking of order fulfilment and sales volume reporting
• Review and report on Customer Forecast vs Actual load to avoid over commit
• Support backup coverage and perform ad-hoc duties assigned by superior
