Job summary

Matthews International Malaysia Sdn. Bhd. is seeking a Document Control Officer on a fixed-term contract in Penang. The role focuses on managing the QMS, ensuring accurate documentation, and supporting ISO compliance across departments.

You will maintain document control procedures, oversee versioning and change tracking, assist in document creation and revision, and participate in on-site audits and ad hoc management tasks.

Qualifications

• Diploma or Degree in Business Studies/Administration/Business Management or related discipline.
• Fresh graduate is welcomed.
• Must possess general office experiences and competent to use Microsoft Office applications.

Responsibilities

• Manage the company’s Quality Management System (QMS) to ensure proper documentation and ongoing ISO compliance.
• Ensure documents are properly maintained, reviewed and updated for audit purposes.
• Conduct regular checks of document repositories to ensure compliance with document control standards.
• Assist in creation, editing, formatting, and maintenance of controlled documents.
• Support revision processes, including version control and change tracking.
• Collaborate with departments to gather information for document creation and revision.
• Follow up on pending documents and records control matters for ISO/audit compliance.
• Coordinate and provide support for on-site internal and external quality audits.
• Assist with ad hoc duties and other tasks as assigned by Management.
