We are seeking a Contract Executive to join Tech-Store Malaysia Sdn Bhd. This is a strategic position within our construction division, focused on managing, negotiating, and overseeing contracts to ensure compliance, protect company interests, and facilitate smooth project delivery. You will work closely with business development team, project teams, vendors, clients, and internal stakeholders to ensure all contractual obligations are met and disputes are minimized.
Job Responsibilities
- 1. Tender Terms & Conditions Review and Analysis
- i) Review tender documents and analyse Terms & Conditions.
- ii) Prepare structured summaries of key contractual and operational requirements.
- iii) Identify clauses impacting project delivery, including but not limited to:-
- a) delivery timelines and milestones
- c) penalties and liquidated damages
- d) warranty and support obligations
- e) performance security/bonds
- f) insurance requirements
- g) liability provisions
- h) payment terms and retention
- iv) Highlight contractual and operational risks.
- v) Consolidate assumptions, qualifications, required clarifications and key obligations for internal review.
- vi) Ensure tender Terms and Conditions are translated into clear internal action points.
- 2. Internal Co-ordination Prior to Tender Submission
- i) Coordinate with technical, operations, commercial and finance teams to confirm all tender requirements are addressed in the tender proposal.
- ii) Track and follow up on outstanding items prior to submission.
- iii) Maintain a structured checklist to ensure all requirements are closed before tender submission.
- iv) Escalate unresolved issues or risks prior to tender submission.
- 3. Contract Administration and Lifecycle Support
- i) Support the preparation and coordination of contracts including sub-contracts, NDAs, teaming agreements, framework agreements and project awards.
- ii) Consolidate requirements and translate them into structured inputs for contract drafting and legal review.
- iii) Provide administrative support across all phases of contract lifecycle, including award, implementation, renewals, and close-out.
- iv) Assist in the organisation of annexures, scopes of work and supporting documentation for project agreements.
- v) Maintain contract records, version control and filing systems.
- 4. Review of Incoming Contracts and Agreements
- i) Review all incoming contracts and agreements from clients, partners and vendors.
- ii) Prepare structured summaries of key Terms and Conditions, including contractual obligations, risk areas and operational implications.
- iii) Identify inconsistencies, gaps or clauses requiring clarification.
- iv) Propose revisions or commercial positions for internal consideration.
- v) Co-ordinate with internal stakeholders to confirm positions and requirements.
- vi) Consolidate inputs and prepare documentation for legal review and/or management approval.
- vii) Escalate key contractual risks and recommended positions for management review.
- 5. Data Consolidation and Documentation Control
- i) Consolidate and review information from multiple sources for accuracy and completeness.
- ii) Perform basic data analysis relating to tender and contract documentation.
- iii) Maintain structured documentation and ensure consistency across records.
- 6. Operational Documentation and Process Support
- i) Assist in development and maintenance of SOPs, workflows and documentation frameworks.
- ii) Support standardisation of documentation practices and template management.
- iii) Ensure alignment between documentation and operational processes.
- 7. Governance and Compliance Support
- i) Maintain governance documentation, policies and internal records.
- ii) Support documentation requirements for compliance frameworks (e.g. ISO systems).
- iii) Ensure proper document control and audit readiness.
- 8. Project Co-Ordination
- i) Attend internal and external project meetings where required.
- ii) Track and follow up on action items to completion.
- iii) Coordinate discussions with relevant teams to clarify contractual and documentation requirements.
Job Requirements
- Diploma or Degree in IT, Engineering, Law, Business Administration, or a related field
- 3-5 years of proven experience in contract management within the IT/Engineering industry
- Excellent understanding of contract law and regulations in Malaysia
- Proficiency in contract drafting, reviewing, and negotiating skills
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong analytical and problem-solving abilities
- Excellent communication and interpersonal skills
- Ability to manage multiple contracts simultaneously and meet deadlines
- Meticulous attention to detail and organisational skills
