Job summary

Jora Malaysia is seeking a Compliance & Shipping Administrator/Assistant to support compliant and efficient distribution across storage, import and export. You will oversee shipping documents, maintain inventory records and help ensure licensing, health & safety standards are followed.

Working closely with warehouse colleagues, shipping agents and internal teams, you’ll prepare shipments, handle customs documentation and support process improvements to keep goods moving safely and efficiently.

Qualifications

  • Proven experience producing essential shipping documentation would be an asset.
  • Knowledge of IATA and IMDG regulations with experience producing Dangerous Goods Notes.
  • Good understanding of shipping modes, freight requirements and customs documentation.

Responsibilities

  • Ensure all required business licences are valid and their terms and conditions are consistently followed.
  • Ensure goods are accurately booked in and out of company systems, maintaining inventory data.
  • Prepare shipments in line with distribution and shipping regulations, including packing and labeling.
  • Produce and maintain essential shipping documentation for customs and shipping requirements.
  • Coordinate with shipping agents and local partners for air and sea freight and import/export clearance.
  • Take ownership of shipping enquiries, audits and compliance requests, and support improvements.

As our new Compliance & Shipping Administrator/Assistant, you'll play an important role in supporting compliant and efficient distribution activities across storage, import and export. You'll oversee critical customs and shipping documentation, maintain accurate inventory records and help ensure that licensing, operational processes and Health & Safety standards are consistently followed. Working closely with warehouse colleagues, shipping agents, transport partners and internal teams, you'll help ensure goods are prepared, documented and moved safely and efficiently.

Some of your key responsibilities:
  • Ensure all required business licences are valid and their terms and conditions are consistently followed, supporting compliance across inventory management, auditing procedures and internal processes.
  • Ensure goods are accurately booked in and out of company systems, maintaining accurate inventory data in internal systems and PKFZ customs records.
  • Prepare shipments in line with distribution and shipping regulations, including correct picking, auditing, packing and labelling.
  • Produce and maintain essential shipping documentation, including commercial invoices, Dangerous Goods Notes, Proof of Export and packing lists, ensuring accuracy and readiness for customs and shipping requirements.
  • Coordinate with appointed shipping agents and local partners to arrange efficient air and sea freight, manage collection arrangements and support timely import and export clearance.
  • Take ownership of shipping enquiries, audits and compliance requests, while supporting process improvements, inventory compliance, quality assurance, training compliance and Health & Safety activities.
What do I need to be successful in this role?
  • Proven experience producing essential shipping documentation, including commercial invoices and packing lists.
  • Knowledge of IATA and IMDG regulations, with experience producing Dangerous Goods Notes; current certification would be desirable.
  • Good understanding of shipping modes, freight requirements and customs documentation.
  • Experience working in PKFZ, or knowledge of PKFZ operational and customs compliance requirements, would be desirable.
  • Strong IT skills, with good organisation and problem-solving abilities and a high level of attention to detail.
  • Good written and verbal English communication skills, with the ability to build effective working relationships with warehouse, transport, shipping and inventory colleagues.
