Job summary

Shopline in Kuala Lumpur is seeking a dual-role HR Operations and Office Management coordinator to ensure smooth daily operations while supporting HR processes. The role will focus on payroll liaison, HR records, onboarding/offboarding, and facilities coordination in a fast-paced environment.

You will handle employee relations, engagement activities, policy guidance, and compliance with local labor laws, contributing to a positive workplace culture.

Qualifications

  • 2-4 years of experience in Human Resources or Office Management, with at least 1 year in HR operations.
  • Knowledge of HR operations, payroll processing, and office administration, and familiarity with local labor laws and HR best practices.
  • Excellent communication and interpersonal skills with the ability to build relationships across all levels of the organization.
  • Multitasking across competing priorities in a fast-paced environment requiring strong organizational skills.
  • Problem-solving ability with attention to detail and proactive work approach.
  • Experience in fostering a positive workplace environment and managing office operations efficiently.

Responsibilities

  • Act as the primary point of contact for payroll processing in collaboration with a third-party vendor, ensuring accurate and timely employee compensation.
  • Maintain and update HR records, including employee data, leave management, and attendance tracking, ensuring accuracy and compliance with company policies and labor laws.
  • Support onboarding and offboarding processes, including preparing employment contracts, coordinating orientation sessions, and managing exit procedures.
  • Serve as liaison between employees and management to address employee concerns, foster a positive workplace culture, and ensure open communication channels.
  • Assist in organizing employee engagement activities to promote a cohesive and inclusive work environment.
  • Provide guidance to employees on company policies, procedures, and benefits.
  • Ensure compliance with local labor laws and company policies, keeping up-to-date with any legislative changes.
  • Prepare and maintain HR reports, including headcount, turnover, and attendance.
  • Support the performance review process by managing timelines, ensuring documentation is completed, and assisting managers and employees in setting and tracking goals.
  • Oversee day-to-day office operations, including facilities management, office supplies, and vendor coordination, and manage office budgets and expenses.

HR Operations
Payroll and HR Administration:

Requirements:
