Key Responsibilities
The successful candidate will be responsible for:
Managing and coordinating the daily operations of the school office to ensure smooth, efficient and professional administrative support.
Overseeing front-office duties, including handling enquiries, receiving visitors, managing correspondence and maintaining a welcoming office environment.
Monitoring and managing administrative requests through the Ticketing System, ensuring requests are recorded, assigned, followed up and completed within a reasonable timeframe.
Maintaining proper office processes, records, filing systems, communication channels and documentation practices.
Supervising, guiding and supporting office administrative staff in carrying out daily school office and administrative duties.
Allocating tasks, monitoring work progress and ensuring administrative deadlines and service expectations are met.
Supporting parent, student and staff communication through the approved school systems and communication channels.
Ensuring accurate and timely updating of student attendance records, including late coming, early exit, planned absence and other attendance-related matters.
Providing direct administrative support to the School Principal in relation to school operations, correspondence, reports, schedules, meetings, documentation and follow-up matters.
Coordinating procurement, stationery, office supplies, teaching resources, Purchase Requisitions and related administrative records.
Supporting the administrative arrangements for school meetings, events, workshops, Parent Teacher Conferences, orientation programmes and other school activities.
Attending meetings where required and preparing accurate minutes, action points and follow-up records.
Providing administrative support for examinations, yearbook coordination, documentation, audits, internal reviews and school records where required.
Liaising professionally with parents, students, staff, internal departments, vendors and external stakeholders.
Handling confidential and sensitive information with discretion, professionalism and integrity.
Working in line with the school’s policies, procedures, safeguarding expectations, confidentiality requirements and service standards.
Undertaking any other duties appropriate to the level of the role as reasonably requested by the School Principal.
Requirements
The ideal candidate should have:
Minimum Diploma or Bachelor’s Degree in Business Administration, Office Management, Education Administration, Management or a related field.
Relevant administrative experience, preferably in a school, education, customer service, office administration or service-based environment.
Experience coordinating or managing daily office administration operations.
Experience supervising, guiding or coordinating the work of administrative staff.
Experience supporting a Principal, senior leader, manager or head of department in administrative and operational matters.
Good command of written and spoken in English and Mandarin.
Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
Good working knowledge of administrative systems, student information systems, attendance systems, ticketing systems or school management platforms.
Strong office administration, organisational, coordination and follow-up skills.
Good attention to detail and accuracy in documentation, records, reports and communication.
Good interpersonal and communication skills, with the ability to build positive working relationships with parents, students, staff, school leadership, vendors and visitors.
