Admin Executive
Regent International Schools – Sungai Petani Campus
The Admin Executive is responsible for providing efficient administrative support to ensure the smooth day-to-day operations of the school. The role includes managing finance and procurement activities, maintaining accurate records, coordinating with internal departments and external vendors, and supporting the school's operational and administrative functions. The ideal candidate is highly organized, detail-oriented, and able to work effectively in a dynamic educational environment.
Provide comprehensive administrative support to the school management and various departments.
Maintain and organize administrative records, files, and documentation.
Coordinate meetings, prepare reports, correspondence, and official documents.
Handle incoming enquiries, correspondence, and general office administration.
Ensure office supplies and equipment are adequately maintained.
Assist in finance-related administrative duties, including processing invoices, payments, reimbursements, and maintaining financial records.
Support budgeting and expense tracking as required.
Manage procurement processes, including obtaining quotations, preparing purchase requisitions, issuing purchase orders, and liaising with suppliers.
Ensure procurement activities comply with company policies and procedures.
Maintain accurate procurement and finance documentation for audit purposes.
Coordinate with vendors, contractors, and service providers.
Support school events, activities, and operational projects.
Assist with inventory management and asset tracking.
Perform other administrative duties assigned by the School Principal or Management.
Experience in handling student pass applications, renewals, and related documentation is preferred.
Familiarity with student pass procedures, immigration requirements, and submission processes is an added advantage.
Able to coordinate with relevant authorities, agents, students, and parents/guardians regarding student pass matters.
Responsible for maintaining accurate and up-to-date records of student pass applications, renewals, and supporting documents.
Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.
Qualification in Accounting or Finance is preferred.
Minimum 2 years of relevant working experience in administration.
Must have at least 1 year of experience handling finance and procurement functions.
Experience in an educational institution is an added advantage.
Strong understanding of finance administration and procurement processes.
Excellent organizational and time management skills with strong attention to detail.
Strong interpersonal and communication skills, both written and verbal.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and capable of maintaining accurate computerized records.
Ability to multitask, prioritize work, and meet deadlines.
Able to maintain confidentiality and handle sensitive information professionally.
Team player with a collaborative working attitude.
