Job summary

Airswift in Malaysia is seeking an AsPAC Sales & Operations Coordinator to help the regional commercial and operational teams. This hands-on role coordinates quotations, supplier inputs, orders and invoicing, working with customers, sales, marketing and finance across Asia Pacific.

You'll stay highly organized, manage multiple activities and stakeholders, and ensure accurate documentation, trackers and timely information flows to support revenue and customer satisfaction.

Qualifications

• Bachelor's degree or diploma in any discipline.
• Minimum 2 years in coordinator or commercial operations support.
• Strong organisational and administrative skills with attention to detail.
• Experience supporting sales, commercial operations, or customer service.
• Comfortable preparing quotations and handling pricing information.
• Experience interacting with customers and suppliers.
• Good numeric skills and Excel proficiency.
• Ability to manage multiple activities and follow up actions proactively.
• Strong written and verbal communication in English.
• Experience across countries, cultures, time zones.

Responsibilities

• Prepare and coordinate customer quotations based on pricing and direction from the sales team.
• Support preparation of customer proposals and related commercial documentation.
• Coordinate customer requests for product, pricing, availability and delivery information.
• Maintain quotation records and follow up outstanding quotations with the sales owner.
• Assist with customer onboarding, master-data requirements and sales administration.
• Support maintenance of customer, opportunity and basic sales reporting information.
• Obtain quotations from suppliers and coordinate pricing, lead times, and documentation.
• Coordinate supplier pricing, lead times, availability and documentation.
• Maintain supplier quotation records.
• Follow up suppliers to ensure timely information.
• Support purchase requisition and purchase order coordination.
• Support customer orders from quotation through delivery and invoicing.
• Liaise with supply chain, distributors, logistics providers and internal teams on order status.
• Coordinate documentation required to support deliveries.
• Track outstanding operational actions and elevate delays.
• Maintain trackers covering quotations, orders, deliveries and invoices.
• Coordinate with Sales, customers, Finance to support invoicing.
• Maintain visibility of orders, deliveries and invoices for reporting.
• Track purchase orders and related spend for cost monitoring.
• Maintain commercial records and reconciliation support.
